About The Position

The DRIVE Accounting department has an opening for a Drive Receipts-Billing Coordinator. Under the general supervision of the Director of Accounting, Manager of DRIVE Accounting or designee, the coordinator performs duties related to the receiving, posting, billing and delinquencies of DRIVE contributions as well as the addition and maintenance of contributor records.

Requirements

  • High school diploma or equivalent required.
  • Ability to type 40 WPM required
  • Ability to prepare, import and export Excel Spreadsheets
  • One-year experience in an office environment required.
  • Demonstrated ability to use various software packages such as WORD and EXCEL required.
  • Strong telephone skills required.
  • Above average mathematical skills required.
  • Demonstrated ability to organize and maintain a filing system required.
  • Strong ability to pay close attention to detail.
  • Demonstrated organizational and data retrieval skills.

Nice To Haves

  • Bookkeeping course work preferred.
  • Knowledge of Local Union operations preferred.

Responsibilities

  • Processes and balances the lock box contents: prepares employer contributor listings and/or electronic files for posting of contributor records on a daily basis.
  • Contacts employer on a daily basis for resolution of remittance and/or contributor discrepancies. Reconciles receipts on a daily basis according to backup documentation. Daily check verification for appropriate signatures, dates, etc. prior to forwarding to the Accounting Department.
  • Process contributor authorization cards to ensure employers have received notification of deductions to be made; process applicable member/affiliate withdrawal requests; and manual/computerized (electronic import) entry of contributor records.
  • Works independently to prepare hard copy of computerized and/or electronic listings (employer billings/delinquency reports) to be forwarded to employers.
  • Assists in preparation of various internal management reports for Federal Legislation & Regulation Department relative to total number of contributors overall, by Local Union, Joint Council and industry.
  • Supplies IBT DRIVE Field Representatives with information on Local Union participation in DRIVE program.
  • Preparation of reports relative to monetary contributions on behalf of specific affiliates such as Local Unions, region and/or Joint Councils.
  • Posting of individual contributors, employer and affiliate remittances to an excel spreadsheet. Electronically Exports this information to a (FTP) file transfer process site.
  • Record all electronic exports on the transmittal log; reconciliation of the transmittal log to verification e-mails substantiating that all export files have been accepted and successfully processed.
  • Obtains information regarding DRIVE language in new Local Union contracts and PacPro employer information for new employers participating in DRIVE contribution deduction process.
  • Maintains files of all correspondence received/sent to employers and affiliates on a daily basis. Files contributor authorization cards and reconciliation documents on a daily basis.
  • Billing to Employers for DRIVE deductions received from a contributor on a monthly basis.
  • Assists in training of new personnel.
