About The Position

The Donor Relations Coordinator provides administrative and operational support to the Development Manager while serving as a central coordinator for prospect research profiling, micro donor/micro donor campaigns, nextgen co-lead, and gift logs/acknowledgment letters. This role is responsible for managing donor stewardship processes, gift administration, donor database integrity, prospect research, micro-donor engagement strategies, and cross-functional project coordination across the Development Department. The Donor Relations Coordinator plays a key role in cultivating and retaining donors by ensuring accurate donor records, timely gift acknowledgements, prospect profiling, and effective donor communication. The position also supports fundraising campaigns, nextgen engagement initiatives, donor pipeline management, and assist the Development Manager in special events designed to strengthen philanthropic support for the organization.

Requirements

  • Bachelor’s degree required.
  • Must have comprehensive knowledge of research methods and private foundations associated with fundraising for a non-profit institution, or online research skills in another capacity.
  • Minimum of three (3) years’ clerical /administrative, or nonprofit experience.
  • Computer skills required: Microsoft Office software.
  • Proficient with Donor CRM software, or salesforce platform(S)

Nice To Haves

  • Familiar with database management for the non-profit arena preferred.
  • Research and development skills preferred.
  • Bilingual in English and Spanish a plus.
  • Raisers Edge skills preferred.

Responsibilities

  • Maintain gift logs and donor records with a high level of accuracy and confidentiality.
  • Coordinate micro donor stewardship activities, including follow-up communications, recognition efforts, and engagement opportunities.
  • Oversee returned mail processes by updating donor contact information, maintaining database accuracy, and resending correspondence as needed.
  • Support donor retention efforts through personalized donor communications and stewardship initiatives.
  • Coordinate micro-donor acquisition, retention, and engagement campaigns designed to increase grassroots philanthropic support.
  • Serve as co-lead for the organizations alongside the Development Officer (nextgen lead) nextGen donor engagement initiative.
  • Assist with recruitment, engagement, and stewardship of emerging philanthropists and young professional supporters.
  • Coordinate NextGen meetings, events, volunteer opportunities, and fundraising activities.
  • Develop strategies to increase participation and giving among the NextGen donor community.
  • Provide administrative support to the Development Manager, including calendar management, scheduling meetings, preparing correspondence, and coordinating donor visits and tours.
  • Organize departmental meetings, prepare agendas, record meeting minutes, and track follow-up actions.
  • Participate in special projects, strategic initiatives, and other duties as assigned to support organizational development goals.
