Requirements

  • High school or GED (required)
  • Associate degree (preferred)
  • Or 3-4 years of relevant work experience (preferred)

Responsibilities

  • Coordinate and promote community recruitment events, build local partnerships, and maintain social media engagement to attract and educate potential donors.
  • Manage event planning from start to finish by researching vendors, coordinating logistics, securing approvals, ordering marketing materials, and overseeing day-of-event operations.
  • Serve as the first point of contact for new donors by providing program education, answering questions, conducting screenings, and guiding onboarding activities.
  • Support donor recruitment and retention through follow-up communications, appointment scheduling, referral program promotion, and identifying eligible donors using recruitment software platforms.
  • Coordinate recruitment and marketing events in the local community.
  • Research vendors, gather information and make selections based on donor requirements, type of event, anticipated number of recruited donors, and cost.
  • Develop a complete understanding of the requirements of every event to coordinate needs with appropriate teams (may include attendance to meetings, info sessions, etc. to fully understand event requirements).
  • Develop/manage recruitment strategies and materials in accordance with IRB requirements and submit to regulatory for IRB approvals.
  • Work with teams to finalize contracts, payment, and lock down day-of-event logistics.
  • Establish relationships with local businesses and future referral partners.
  • Maintain social media presence prior to and during all events, as well as encourage positive donor reviews.
  • Work with the marketing team to coordinate content for event materials and swag to be ordered prior to event.
  • Responsible for all functions on the day of the event (including physical set up, coordinate staffing, manage weather delays, communication with event host, etc.).
  • Handle post event administration work (including new donor follow up communication, etc.).
  • Promote internal referral programs (Refer-A-Friend).
  • Support teams with day-to-day donor follow up.
  • Use multiple software platforms to identify eligible donors.
  • Act as an initial point of contact for all new donors entering the program.
  • Provide outstanding customer service by answering incoming calls, providing appropriate screening and donor information, and education.
  • Manage new donor onboarding processes.
  • Conduct donor follow up to confirm scheduling and appointment information.
  • Call unscheduled leads from day prior to fill in new donor schedule.
  • Provide service excellence through courteous, informed, accessible, and professional engagement.
  • Provide study specific education to all new donors to enhance their donor experience.
  • Other duties as assigned by supervisor. These may, on occasion, be unrelated to the position described here.
  • Consistent and predictable attendance is an essential function of the position. Role is considered HYBRID. ON-SITE attendance is required for all non-event working days. OFF-SITE work will take place on days of recruitment events.
