The Documentation Specialist will confirm revision levels and certifications are the most recent release. Confirm all processes and documentation are accurate and completed in their entirety. Verify inspection documentation material prior to product being shipped to the customer. Gather documentation to provide to customer as needed.

Requirements

  • Proficient use Microsoft Office Suite software and general use of a personal computer.
  • A High School diploma or general education degree is required.
  • At least one to three years’ experience of working in an office environment.
  • Previous data entry is strongly preferred.
  • Must be proficient in a Microsoft work environment.
  • Computer software and communication skills.

  • Ability to operate successfully in a fast-paced work environment.
  • Knowledgeable in regard to the safety policies and procedures of the Company as described in the Company safety manual.

Responsibilities

  • Confirm revision levels and certifications are the most recent release.
  • Confirm all processes and documentation are accurate and completed in their entirety.
  • Verify inspection documentation material prior to product being shipped to the customer.
  • Gather documentation to provide to customer as needed.
  • Gather certifications and documentation required to accompany the certification package of finished goods.
  • Prepare source documentation package for all parts required.
  • Prepare certifications for shipments after parts are sourced.
  • Scan source documentation packages for these parts after parts are complete and shipped.
  • Gather heat treat and other process certs from receiving department and requesting amended certifications as needed.
  • Gather process certifications from various departments and requesting amended certifications as needed.
  • Submit certification packages to the customer using various methods.
  • Verify all specifications and specification revisions are accurate.
  • File documents and certifications to the correct destination.
  • Perform other duties as required.
  • Prepares source documentation and certifications accurately; attention to detail is the key to success in this role.
  • Checks documents for accuracy and saves and scans documentation for traceability.
  • Prepares shipping documentation and submits to the customer in accordance with their requirements (paper copies or online); Export control process.
  • Works well with internal and external customers/suppliers.
