About The Position

ROHADFOX is looking for a Document Specialist who has super organizational powers! The Document Specialist will serve as a central repository and submittal coordinator for the project. Core responsibility will include managing the document directory, enforcing naming conventions, distributing submittals internally to Client staff, and returning resolutions to developers. May be responsible for supporting the office engineers, cost estimators and document control administrators. Typical duties include general clerical, project support work, and event scheduling relating to the Construction Projects. Under general supervision, the Document Specialist will work within a specialized function to complete tasks in accordance with office procedures. The administrative duties will be varied and will require multitasking and time management skills.

Requirements

  • High School Diploma or GED with minimum 5+ year’s job-related experience; supporting a construction/engineering office is preferred
  • Minimum of five (5) plus years of experience in a similar role; preferably in a Construction Project environment supporting multiple Engineers and/or managers.
  • Proficiency in Microsoft SharePoint, Trimble Unity Construct (formerly e-Builder), and Bluebeam Revu is mandatory.
  • Ability to multi-task and prioritize work and ability to adjust to change
  • High aptitude for organization, timekeeping, and the ability to navigate complex interpersonal dynamics (emotional intelligence)
  • Candidate should be a team player with a pleasant personality and positive attitude.
  • Self-Managing Processes, Analyzing Information, Problem Solving and Independent Thinking
  • Good communication skills, both written and oral.
  • Live within commuting distance of client office located near I-400/I-285

Nice To Haves

Responsibilities

  • Duties will include assisting with transmittal and electronic filing of engineering documents and drawings
  • Assist with setting up and managing document files in hard copy and electronic form
  • Maintain document management repository
  • Distribute and track electronic and physical contract deliverables and controlled documents
  • Electronically scan and store documents
  • Maintain the document management system on assigned contracts.
  • Supports the Resident Engineering team in functions related to the document control/document management system operation.
  • Other tasks as may be assigned.
