About The Position

This role focuses on accurately scanning, indexing, and organizing physical documents into a digital document management system. You will handle confidential information with care, ensure documents are properly categorized and searchable, and support administrative workflows by maintaining well-structured electronic records.

Requirements

  • Experience using Adobe Acrobat for working with PDF documents.
  • Basic proficiency with Microsoft Office applications.
  • Strong attention to detail with a focus on accuracy and completeness.
  • Excellent organizational skills for managing large volumes of documents and records.
  • Ability to take clear, concise notes and follow established processes and procedures.
  • Self-motivated with the ability to work independently and stay focused on repetitive tasks.
  • Comfortable performing repetitive administrative and data entry tasks with a high degree of accuracy.
  • Ability to handle confidential information with discretion and professionalism.

Nice To Haves

  • Previous experience in document management, administrative support, scanning, or records management is a plus but not required.
  • Familiarity with document management systems such as DocuWare is beneficial.
  • General administrative and data entry experience is advantageous.
  • Ability to adapt to evolving processes and technology tools used in document management.

Responsibilities

  • Scan and upload physical documents into the DocuWare document management system.
  • Index and tag documents with key information such as customer names, dates, product names, and product numbers.
  • Ensure PDF files and regulatory documents are accurately categorized, properly named, and easily searchable.
  • Review scanned documents for completeness, image quality, and data accuracy before finalizing.
  • Maintain organized electronic records and filing systems to support quick retrieval and reference.
  • Handle confidential and sensitive information with discretion, professionalism, and strict attention to detail.
  • Prepare documents for scanning by organizing files, removing staples, and ensuring pages are in the correct order.
  • Perform repetitive administrative tasks with a high degree of accuracy and consistency.
  • Follow established processes and workflows for document management and contribute to process improvements when appropriate.
  • Take clear notes and maintain documentation of work completed, issues encountered, and resolutions.
  • Collaborate with team members and other departments as needed to ensure timely and accurate document processing.
