Requirements

  • Graduation from high school or GED equivalent with specialized course work in general office practices such as typing, filing, with one or more years’ experience in a document control/administrative/clerical position.
  • An equivalent combination of education and experience may be considered.
  • Experience in an engineering office is a plus.
  • Intermediate level Microsoft Windows, Word, Excel, Outlook Express, and Adobe Acrobat Pro DC; must be able to work independently and have the willingness and ability to learn new ways of their use to implement them in the tasks and duties to be assigned.
  • Ability to read and interpret documents such as CAD data, engineering drawings, and governmental regulations.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to follow provided processes, policies, procedures of the department and company.
  • Ability to add, subtract, multiply, and divide in all units of measure.

Nice To Haves

  • Working knowledge of AutoCAD 2008 or later desired to print files.
  • Previous Document Control experience.

Responsibilities

  • Collect, maintain, and distribute all documents necessary to define vessel configuration and control manufacturing processes that ensure conformance to customer requirements.
  • Provide support services to the Executive, Engineering, Production, Purchasing, and Estimating Departments under the direction of ESG Engineering Document Control Manager.
  • Maintain a computer database of all filed documentation that ensures fast retrieval of documents by ESG standard Document Control Processes and Procedures.
  • Maintain a hard copy reference library of all documentation as appropriate to the project.
  • Ensure timely distribution of latest revision level documentation to all appropriate users and ensure that obsolete documentation is removed from distribution.
  • Attend and record notes from Project Management meetings as requested.
  • Manage the upkeep of all drawing logs for design drawings, vendor drawings, manuals, and certificates of each vessel under construction per ESG standard Document Control Processes and Procedures.
  • Print and distribute plans, documents, specifications, certificates, and any other paperwork that make up any documentation of a vessel design whether in construction, or in estimation stages.
  • Submit plans, certificates, and any other documentation required to Classification Societies, vendors, subcontractors, Government Authorities, etc., and file receipt of same; per ESG standard Document Control Processes and Procedures.
  • Make simple corrections to plans and documents as needed, under direction.
  • Provide written answers to requests for information and documentation as directed.
  • Collect all vendor manuals and deliver manual sets to vessels when delivered according to vessel’s specification requirements.
  • Maintains appropriate levels and monitor office supplies, equipment, and other materials.
  • May require travel between ESG Installations to perform assigned duties.
  • Perform other duties as assigned.
  • Able to write in explanatory and procedural styles for multiple audiences’ simple procedures and/or instructions.
  • Manage updates and revisions to technical literature.
