About The Position

The Document Compliance Specialist is responsible for communicating and maintaining company documentation in alignment with food safety regulations and customer requirements. This role serves as the key liaison for supplier and customer documentation requests via customer portals and ensures timely and accurate responses between internal and external account holders. Responsibilities include supporting customer and supplier approval programs, maintaining and updating product specification sheets, maintaining and updating internal documentation, and ensuring documentation is compliant with FSMA, GFSI/FSSC22000, and other regulatory frameworks.

Requirements

  • Minimum High School + 3+ years in document control or regulatory compliance within the food-manufacturing environment or similar role
  • Strong understanding of FDA/USDA regulations, FSMA, GFSI, HACCP.
  • Certified Preventive Controls Qualified Individual (PCQI).
  • Certified in Foreign Supplier Verification Program (FSVP).
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook), SharePoint.
  • Experience with MS Great Plains and BatchMaster ERP systems.
  • Excellent organizational skills and attention to detail.
  • Excellent communication skills
  • On-site Required.
  • Maintain confidentiality regarding sensitive documents

Nice To Haves

  • Bachelor or A.S. degree in Food Science, Agribusiness, Biology or Chemistry preferred, but not required.
  • Spanish language competency

Responsibilities

  • Respond to customer documentation requests through portals and direct communication.
  • Maintain and update product specification sheets, technical data, certificates, and registrations with regulatory organizations (ODA, USDA, OTCO, Kosher, Halal)
  • Manage supplier approval program documentation, including supplier onboarding and verification.
  • Ensure compliance with domestic and international food safety regulations.
  • Upload, organize, and retrieve documents using MS Suite (SharePoint, Excel, Word)
  • Utilize MS Great Plains and BatchMaster ERP systems to manage item-level data and product information.
  • Interface with Quality Assurance and Customer Support teams to ensure all product and supplier and customer documentation meets compliance standards.
  • Prepare and submit documentation and provide support for audits, customer reviews and complaints, and regulatory inspections.
  • Perform other related duties as assigned by the Quality Assurance Manager
