About The Position

This is a full-time, project-based position in the Permian Basin / Odessa, TX area. The Document Control Admin will be responsible for tracking, maintaining, and scheduling procured client and vendor documents, ensuring an efficient workflow. The role requires managing a high-volume workload, working effectively in a team, and identifying and reporting workflow delays or issues to a supervisor. Experience in document or administrative management is required, with electrical knowledge and experience in the Oil and Gas industry being preferred.

Requirements

  • 1-3 years related Oil and Gas industry experience
  • Ability to work on project site
  • Ability to lift, bend, stoop, sit, stand, and reach for extended periods of time
  • Ability to prioritize, demonstrate initiative, and handle the pressure of multiple project group document requirements with tact
  • Attention to detail, accurate
  • Computer literate and competent in the use of MS Word, Excel, PowerPoint, and Outlook required
  • Knowledge of clerical and administrative procedures and systems such as filing & recordkeeping
  • Knowledge of operation of standard office equipment
  • Solid communication skills, professional attitude, and works well and in harmony with others
  • Strong organizational skills including alphabetization and numerical filing
  • Ability to work independently and excellent time management skills

Nice To Haves

  • Electrical knowledge in the Oil and Gas industry experience preferred
  • Familiar with the types of equipment used in process plants – field or vendor experience a plus

Responsibilities

  • Creation and maintenance of engineering project electronic file structure received from clients and vendors
  • Tracking and scheduling of procured client and vendor documentation
  • Creation and maintenance of document control reports and logs for required engineering projects
  • Maintain efficient workflow of vendor and client documents through the engineering internal review phase and return engineering comments to the vendors or to the project engineering team for further action, when applicable
  • Adapt to client document control systems
  • Creating and issuing project job books for all required projects
  • Identify delays or issues that interfere with the workflow process and report to the Supervisor
  • Manage Saulsbury Engineering FTP site for required project
