About The Position

We are seeking a detail-oriented Office Coordinator to provide comprehensive administrative and project support in a fast-paced environment. This position coordinates workflow for the manager’s office, prepares confidential correspondence and reports, analyzes data, assists with budget tracking, and monitors deadlines. The role serves as a key point of contact for employees and the public, providing information on policies and procedures, scheduling appointments, coordinating travel, processing complaints, and maintaining organized filing systems. Bilingual Spanish skills are utilized to translate procedures and communications as needed. This position is ideal for a professional who demonstrates strong organizational skills, discretion, and the ability to manage multiple priorities while supporting leadership operations. Requirements

  • Requires knowledge, skill, and mental development equivalent to two (2) years of secretarial/business college.
  • ORRequires completion of high school and two (2) years of related office experience.
  • ORRequires two (2) years of independent business experience.
  • Requires the ability to speak and write Spanish at a colloquial skill level.
  • Requires ability to keyboard accurately 30 words per minute.
  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen.
  • Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.

Nice To Haves

  • Prefers at least three (3) years of experience gathering data to complete projects in a work setting.
  • Prefers at least three (3) years of work experience utilizing software and databases to gather and retrieve information.
  • Prefers at least one (1) years of experience scheduling meetings, preparing agendas, and keyboarding meeting minutes.
  • Prefers at least one (1) year of experience screening and forwarding phone calls.
  • Prefers at least one (1) year of experience preparing and proofreading written correspondence.
  • Prefers at least one (1) year of experience handling confidential information.
  • Prefers at least one (1) year of experience creating, maintaining, and filing documents and reports.

Responsibilities

  • Serves as an administrative secretary, conducts special projects and studies by gathering data, coordinating, monitoring, and completing assigned projects.
  • As a secretary, composes and drafts correspondence in response to general inquiries as well as drafting correspondence per the manager’s request.
  • Receives visitors.
  • Translates functions/ procedures into Spanish for individuals who cannot speak or read English.
  • Establishes and maintains a filing system.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
