About The Position

This individual will be a member of the District VIII 4-H Horse Committee and responsible for managing the District VIII 4-H Performance Horse Show. This individual will work with extension educators and volunteers to organize committees and delegate responsibilities as related to the District VIII 4-H Performance Horse Show. This individual will be evaluated by 4-H Educators and the district committee following the show. The individual will work with educators to develop and offer education programs to youth in the District VIII geographic area in compliance with the University's expectations about youth programs. District VIII includes Jefferson, Clearfield, Elk, Cameron, Potter, McKean, and Warren Counties.

Requirements

This position requires the following clearances in addition to applicable background checks: PA State Police Criminal Background Check, PA Child Abuse History Clearance Form, and Federal (FBI) Fingerprint Criminal Background Check.
This position requires that you operate a motor vehicle as a part of your job duties. A valid driver’s license and successful completion of a motor vehicle records check will be required in addition to standard background checks.

Responsibilities

Schedule, plan, and implement regional district 4-H horse committee meetings per established guidelines with the Horse show management guiding publication and supervising educator guidance.
Prepare meeting agenda, minutes, and financial statements in conjunction with the county chairing the district show.
Develop show bill for District VIII.
Installing any subcommittees needed – awards, fundraising, show bill, etc.
Review show entry gifts and apparel to be sold during regularly scheduled district meetings.
Coordinate division manager positions for the show and facilitate communication among these individuals.
Correspond with each county, including leaders and educators, about meeting days and show responsibilities in a timely manner.
Consult with the assigned county extension educator at least once per month during the 4-H program year and once per week during the two months prior to the show.
Attend Fair Entry computer trainings and review recorded trainings to learn how to navigate and use the Horse Show computer program. Also work with IT support at Penn State or area Fair Entry program coordinator, in a timely manner, regarding data and computer issues.
Oversee subcommittees that are part of the District VIII 4-H Horse Show Committee, which may include Fundraising and Awards, and show division managers.
Monthly check-in of ongoing and upcoming tasks that need to be completed.
As needed, attend the State 4-H Horse Committee meetings or other trainings as required.
Work with educators in the District VIII horse region for appropriate and university-compliant educational programming geared toward the continuum of learning for horse members.
Reserve the selected host grounds for the District 4-H Horse Show and oversee the assignment of county stalls.
Confirm judges for the show per judges committee recommendations.
Work with judges to select patterns and distribute patterns by August 1 for enough time to be uploaded to webpage/cloverlink/sharepoint and disseminated among counties.
Determine which Committee representative(s) from each county will serve as Show Committee and ensure those individuals and Educators are present for protest and other show discussions.
Obtain District Horse Show entries from all participating counties via Fair Entry and check for errors. Communicate with county extension educators regarding any errors or missing information.
Prepare cards, catalog, etc. for show day using Fair Entry program.
Order ribbons and trophies.
Organize committees to cover the following responsibilities: ring crew and preparation, manure removal, bathroom facilities/ first aid, check-in, record keeping, gate and ring crew assignments & announcements, and ribbons/ trophies, communications between office and show rings (scratches, etc.), PA system, Equipment and show safety
Establish registration headquarters to be used for communication of class changes, scratches, protest, etc.
Update division managers on class changes, scratches, class conflicts, etc..
Consult with Show Committee and Extension Educators concerning rule violations and protests. Extension Educators and Show Committee will make the final decision.
Register state qualifiers and notify alternates of show details (stalls, class cost, location, bedding, etc.) after the district show or within a week of show completion.
Announce crew changes per ring.
Work with county educators and volunteers to enter results into the computer program and forward entries to Penn State immediately following the show. A copy of the results needs to be supplied to 4-H Educators in the same timeframe and can be shared via TEAMS, Sharepoint or email.
Send confirmation emails or letters, to participants and 4-H Educators, regarding advancement to the State 4-H Horse Show within 2 weeks of the conclusion of the District VIII Horse Show.
Complete income and expense worksheet at the end of district horse show and submit to district 4-H educators.
