About The Position

We are actively recruiting a District Administrator for our Grande Prairie, AB base location. As a member of the District Operations Team, the District Administrator will report directly to the Manager – District Service Line, and will be located at our district office in Grande Prairie, AB. The primary function of this position is to provide administrative support to the district management team, field-based employees, and maintenance employees.

Requirements

  • Minimum 5 years Oil & Gas administrative / Maintenance Clerk experience is strongly preferred; relevant experience would be considered
  • Experience with Fleet Maintenance (CVIP Inspections) a significant asset
  • Front desk and/or reception experience, combined with strong communication skills
  • Strong Excel knowledge is a requirement, combined with proficiencies in basic accounting and the ability to learn new computer programs, platforms, and software
  • Ability to work independently and communicate effectively with senior level management; demonstrated ability to provide superior organization skills
  • Good understanding of oilfield terminology is considered an asset
  • Inventory control experience and knowledge of National Safety code regulations

Responsibilities

  • Manage the reception desk in a professional and welcoming manner
  • Provide support with district hiring: welcoming new hires to the base location, then leading the onboarding process (New Employee Orientation)
  • Manage booking and attendance of all defined training requirements for district personnel as required
  • Support in the reporting of district activities in accordance with policies & processes, as requested by the district operations team; this includes personnel training & development, payroll, vacation inventory, operations revenue etc.
  • Manage variable pay auditing, approvals and submissions based on defined timelines
  • Assist in tracking all carrier profile violations according to National Safety Code
  • Organization of all commercial vehicle inspection certificates: (250 hr. & quarterly)
  • Assist with internal audit of maintenance files for records and Inspection certificates, pre-post trip inspections, unit maintenance in compliance with internal pgrograms
  • Support the District purchasing / buying processes, as required by the operations team, as well as assist in planning and booking district events
