About The Position

Supervises and coordinates activities of workers concerned with providing work orders & inventory records for distribution accounts. This role involves managing the daily workflow of Logistics Coordinators, assigning duties, and ensuring work meets standards. It also includes developing hiring, training, and professional development programs, applying motivational techniques, managing associate performance, and planning staffing levels. The position assists in preparing work procedures and schedules, and mentors a subordinate. Operations involve utilizing proprietary distribution software, ensuring compliance with operational standards and regulations, and supporting the manager and sales department with customer service. This includes making introductory contacts with new accounts, maintaining relationships with existing ones, addressing complex customer issues, coordinating new accounts, and auditing them to ensure customer needs are met. The role also assists the Distribution Manager with budget development, interacts with credit and collections, and supervises accounting functions. It involves following up on current customers, conducting Quality Management Reviews, directing order releases for timely delivery, overseeing order processing, and making recommendations for improving customer service functions. Reporting includes maintaining up-to-date procedures, tracking performance measures, providing reports to management, gathering and analyzing data, and distributing reports. Compliance involves promoting company policies and regulations and acting as a role model. Systems responsibilities include developing procedures for office equipment, recommending enhancements for computer and telephone systems, and suggesting system/process improvements. The role also proactively promotes the company's 10 cultural attributes.

Requirements

  • Knowledge of customer relationship management software programs.
  • Inventory management, budgeting, and accounting knowledge is required.

  • A good understanding of Expeditors’ products, services and systems.
  • Strong market and competition knowledge.
  • Effective interpersonal skills, including proven abilities to listen, comprehend, effectively communicate clearly and concisely to obtain positive results.
  • Good Microsoft Office skills (Excel, Word etc.).
  • Requires direct warehouse-related experience in customer service, with management skills such as planning, supervising, controlling, organizing and staffing.
  • Communication skills are necessary to establish effective working relationships.

  • Meet company standards of 52 hours training per year, including as needed management/leadership training.
  • Bachelor’s degree (B.A.) from four-year college or university; or 4 years-related experience and/or training; or equivalent combination of education and experience.
  • At least two years of experience in distribution/inventory control.
  • Previous supervisory experience.

Responsibilities

  • Supervise Logistics Coordinators daily workflow.
  • Assign duties and examine work for exactness, neatness, and conformance to policies and procedures.
  • Maintain a productive staff by creating programs for hiring, training and professional development.
  • Apply sound communication and motivational techniques in supervising, coaching and disciplining associates.
  • Manage associate performance and recommends promotions, wage increases and terminations.
  • Plan staffing level of distribution office personnel.
  • Assist in preparing work procedures, work schedules, and expedites workflow.
  • Identify with manager, develop, and mentor your No. 2.
  • Utilize Expeditors proprietary distribution software and coach the team on it's use.
  • Oversee and ensure compliance with Expeditors Operational Process Standards.
  • Day to day supervision to ensure compliance with Federal, Stand and local regulations.
  • Make introductory contact with new accounts and maintain effective relationships with existing accounts.
  • Address the more complex and non-routine customer issues and requests.
  • Coordinate new accounts, gathering all necessary information and assigning accounts to the Logistics Coordinator.
  • Audit all new accounts and follow up on responsibilities of the Logistics Coordinator to ensure that customer needs have been met.
  • Work with the Distribution Manager to help develop and recommend the annual departmental operating budget, making said budget consistent with the desired customer service levels and necessary equipment upgrades.
  • Interact with credit and collections personnel regarding payment problems.
  • Perform and supervises department accounting functions (i.e. Accts. Payable, Accts. Receivable, Customer Invoicing, domestic freight rating, etc.).
  • Assist in following up on current customers and conducting Quality Management Reviews (QMRs).
  • Direct and control the release of orders to shipping to ensure timely delivery to customers and meet company efficiency goals.
  • Directs and oversees order processing and ensures that data entries on documents such as delivery orders and inventory reports are accurate and timely.
  • Make recommendation to Senior Management on programs to improve operation of the customer service function.
  • Maintain up-to-date procedures reports.
  • Track on-time delivery and other performance measures.
  • Provide necessary reports to management.
  • Gather and analyze data concerning department operations and customer requirements.
  • Distribute reports to various functional areas as required.
  • Promote compliance by diligently following all company policies and regulations and in being the role model of integrity and pride for all employees.
  • Proactively communicate with the team to ensure continuous awareness and understanding of policies and regulations.
  • Develops procedures to ensure the efficient operation and utilization of office equipment.
  • Determines and recommends enhancements for computer systems/telephone equipment to meet cost and service goals.
