About The Position

The Dispensary Clerk is responsible for supporting the daily dispensary operations. This role involves receiving new prescriptions, processing medication labels, handling phone calls and refill requests, stocking and managing inventory of medications and supplies, ordering medications, and processing returns for outdated or recalled items. The clerk also handles Prior Authorizations and T.A.R. requests with provider approval, maintains logs for sample and administered medications, and conducts monthly inventory of stock medications. Additionally, the position requires performing customer service duties, updating patient information, tracking patient applications and refills for the Patient Assistance Program, and preparing medications for patient pick-up. Adherence to the Attendance and Absenteeism Policy is crucial, as is the ability to work at any FHCN location as needed. The role also includes performing other assigned duties.

Requirements

  • Must possess a high school diploma or General Educational Development (GED) certificate.
  • Job duties require specific knowledge of pharmacy processes and practices, typically learned on the job or which may include a series of training sessions that would comprise a few weeks if done consecutively.
  • Ability to prepare basic correspondence and simple reports in Microsoft Word.
  • Ability to use Microsoft Excel to create tables and simple displays of information.
  • Ability to create basic presentations in Microsoft PowerPoint.
  • Effectively communicate routine or non-technical information to co-workers and others.
  • Effectively communicates written information (including electronic correspondence) and verbal presentation.

Responsibilities

  • Supporting the daily dispensary operations.
  • Receiving new prescriptions and entering information into the Practice Management and Electronic Health Record System.
  • Processing medication labels.
  • Answering and directing phone calls.
  • Handling prescription refill requests.
  • Stocking and storing medications and vaccines.
  • Regulating stock levels, including forms and supplies for the department, such as prescription pads for medical providers, Liquid Nitrogen, Oxygen tanks, and Nitrous Oxide.
  • Ordering medications through the software system.
  • Return of outdated/expired, recalled and overstocked items for credit and disposal.
  • Handling and completing Prior Authorization and T.A.R. (Medication Treatment Authorization Request) with Medical Providers approval.
  • Maintaining the Log Binders for Sample Medications, Provider Administered Medications and the $10 Medication Program.
  • Maintaining accurate logs of transferred medications/vaccines and prescriptions.
  • Inventory of stock medications at monthly intervals.
  • Performing customer service duties.
  • Updating the system with the appropriate patient information.
  • Maintaining an accurate tracking system of the patient’s application process, status and refills on the Patient Assistance Program.
  • Preparing the Patient Assistance Program medications for patient to pick-up with Medical Providers.
  • Adhering to the Attendance and Absenteeism Policy.
  • Ability to present to and work at any FHCN location, both at the beginning of a shift or during a shift, based on business need.
  • Performing other duties as assigned.
