About The Position

The Aggregates Dispatcher is responsible for receiving, accurately entering, and processing customer orders for aggregate products while ensuring quality service and the timely delivery of ordered materials. This position serves as a primary point of contact between customers, delivery professionals, plant personnel, and customer service staff, coordinating logistics operations to maximize efficiency and service levels. The Dispatcher monitors fleet activity, manages delivery schedules, and resolves service issues in a fast-paced, high-volume environment. This role contributes directly to customer satisfaction and operational performance by maintaining accuracy, responsiveness, and clear communication across all functions of the dispatch operation.

Requirements

  • Previous experience in a logistics, transportation, or dispatch environment.
  • Demonstrated written and verbal communication skills with the ability to interact professionally with customers, drivers, and internal staff.
  • Basic mathematical skills sufficient for quoting prices, calculating quantities, and verifying order totals.
  • Proficiency in computer applications including Microsoft Office Suite and dispatch or order management systems.
  • Strong data entry skills with a high degree of accuracy and attention to detail.
  • Excellent interpersonal skills with the ability to maintain composure and professionalism in a high-stress, fast-paced work environment.
  • Ability to read maps and provide clear written and verbal directions; familiarity with online mapping and navigation tools.
  • Strong organizational skills with the ability to manage multiple orders and priorities simultaneously.
  • Demonstrated ability to identify problems and implement timely, effective resolutions.

Responsibilities

  • Receives inbound customer orders by telephone for the shipment of sand and gravel products, ensuring all order details are captured completely and accurately.
  • Enters customer orders into the dispatch and order management system with a high degree of accuracy to prevent erroneous deliveries, billing errors, or scheduling conflicts.
  • Reviews all order information with the customer to confirm sufficient quantities, correct material specifications, delivery dates and times, delivery addresses, access directions, and any applicable special instructions.
  • Educates customers on available products and makes appropriate recommendations based on project needs; directs customers to the company website for self-service tools and resources.
  • Processes COD orders by quoting prices and quantities according to established zone pricing structures; verifies and approves all required information for credit card transactions and processes payments through the designated telecheck system.
  • Assigns delivery professionals to specific jobs and dispatches trucks to the appropriate plants and delivery sites; forwards all necessary order information to plant personnel to facilitate order fulfillment.
  • Monitors truck and fleet activity throughout the day to maintain timely delivery schedules; develops rotation and next-assignment schedules to optimize truck availability and minimize downtime.
  • Tracks and reviews daily Key Performance Indicator dashboards to assess operational performance and identify scheduling or service trends requiring attention.
  • Receives and troubleshoots customer complaints, provides timely and appropriate resolutions, and escalates unresolved issues to the appropriate manager — including Sales, Operations, the Chief Customer Officer, or Safety — with thorough documentation and follow-up.
  • Promptly notifies Safety, the Operations Manager, and other designated personnel of any accidents, material spills, or job site safety concerns that arise during operations.
  • Coordinates daily communication with Customer Service Center personnel, customers, delivery professionals, and plant staff to ensure efficient, effective, and seamless product delivery.
  • Maintains accurate records of dispatched orders, delivery confirmations, and relevant operational notes to support reporting, billing, and compliance requirements.
