Requirements

  • High school diploma or equivalent.
  • Excellent computer skills, including proficiency in Word, Excel, Outlook, and familiarity with basic office equipment.
  • Demonstrated ten-key and data entry proficiency with accuracy and speed.
  • Strong clerical and math skills.
  • Excellent oral and written communication skills with strong interpersonal abilities.
  • Computer literacy, particularly in word processing and spreadsheets.
  • Professional oral communication skills to respond to and engage with callers and visitors.
  • Strong prioritization, organization, coordination, and time management skills to manage filing systems, multiple tasks, and departmental correspondence.
  • Proven ability to handle a wide range of demanding inquiries diplomatically from various internal and external stakeholders.

Responsibilities

  • Direct and monitor daily assignments; schedule drivers and assign vehicles to ensure full route coverage.
  • Ensure direct and indirect daily activities of drivers are completed on time.
  • Communicate all relevant details of driving assignments to drivers to ensure proper execution.
  • Assist drivers with routing directions and assign special services when required.
  • Recommend appropriate disciplinary action, up to and including suspension or discharge, for staff violations of company policies.
  • Respond to emergency calls, coordinate the emergency response network, assign replacement buses and drivers, and facilitate mechanical service repairs when needed.
  • Notify stakeholders and location personnel of all route changes, emergencies, accidents, breakdowns, or service disruptions.
  • Maintain route documentation and records (e.g., contracts, customer info, route changes, maps, vehicle and driver details) to ensure accuracy and compliance with district and state requirements.
  • Coordinate vehicle service and repairs with the Maintenance Supervisor to ensure uninterrupted service delivery.
  • Maintain strict adherence to dispatch standard operating procedures.
  • Handle customer concerns and information requests promptly and professionally.
  • Escalate unresolved issues to management as appropriate.
