About The Position

We are a growing property management company, with 40 years of service, overseeing state-of-the-art and luxury residential buildings across the Boston metro area. We are actively seeking a Dispatcher/Maintenance Administrative Clerk to join the MMC Team! The position requires prior experience dispatching service personnel, proficiency in written and verbal communication, proficiency with computers and Microsoft Office and the ability to perform detailed clerical work and record keeping for our busy maintenance division to assist our maintenance, cleaning, and snow departments. Our Maintenance Administrative Clerk is the first point of contact for client inquiries and delivers outstanding solutions-based service. Our maintenance administrative team members develop strong working relationships with clients (internal and external) and learn to understand what our clients need and how we can help them. The maintenance administrative team works with our clients and property managers to ensure that common questions and concerns are handled in a timely manner by providing support, research, and issue resolution. This position is critical to the overall client experience.

Requirements

  • Experience with maintenance management software, ticketing systems, and Microsoft Office.
  • Strong verbal and written communication for communicating with both technical staff as well as internal and external customers.
  • Ability to prioritize multiple requests and manage high-stress situations.
  • Problem-Solving: Quick decision-making skills to resolve issues and handle logistical challenges.
  • Previous experience in dispatching and customer service.
  • Must be flexible and willing to work extended hours if needed
  • Manage time effectively and adapt quickly to changing priorities
  • Attention to detail and organizational skills
  • Strong interpersonal and business communication skills
  • Analytical skills to gather and interpret lengthy information from clients

Responsibilities

  • Receive, record, and generate work orders accurately and completely
  • Assign technicians based on availability, skill set, and job urgency.
  • Maintain constant communication with field technicians via phone, email, or text, and provide updates to technicians, property managers, vendors and clients.
  • Evaluate incoming requests to determine urgency and adjust schedules to address emergency repairs promptly.
  • Maintain accurate, updated electronic files on maintenance, inventory, and contractor activities.
  • Ensure technicians have necessary parts, tools, or vendor support for repairs.
  • Prepare and track contracts and proposals
  • Relay messages and special instructions to service personnel in the field via phone and our Service Fusion software program
  • Order materials and supplies as requested
  • Post material receipts to work orders
  • Approve Service Fusion work orders
  • Maintain cleaning, maintenance, snow, and construction files
  • Maintain vehicle maintenance records
  • Operate standard office equipment such as computers and copiers
