Requirements

  • Minimum 3 years of healthcare office experience
  • Strong administrative, organizational, and multitasking skills
  • Excellent verbal and written communication abilities
  • Experience working with Electronic Health Records (EHR)
  • Proficiency with Microsoft Office and general computer applications
  • Ability to maintain accuracy while managing multiple priorities
  • Strong customer service and interpersonal skills

Nice To Haves

  • Experience in Health Information Management (HIM), Medical Records, Medical Office Administration, or Hospital Administration
  • Experience supporting physicians or clinical providers
  • Knowledge of medical terminology and healthcare documentation processes

Responsibilities

  • Prepare, scan, index, and maintain patient health records within the Electronic Health Record (EHR) system.
  • Retrieve, organize, and process discharged patient records.
  • Ensure medical records are complete, accurate, and properly filed.
  • Support internal and external record requests and audits.
  • Maintain a high level of accuracy and attention to detail.
  • Coordinate provider meetings, prepare agendas, and record meeting minutes.
  • Assist with provider scheduling updates and communication.
  • Maintain reports, dashboards, and departmental tracking tools.
  • Process incoming and outgoing mail, messages, and department correspondence.
  • Support leadership with various administrative projects and operational initiatives.
  • Serve as the primary point of contact for incoming department calls and visitors.
  • Assist patients, physicians, and staff professionally and courteously.
  • Route inquiries to the appropriate departments while ensuring timely follow-up.
  • Maintain a positive, service-focused experience for every customer.
  • Coordinate completion of physician documentation and required signatures.
  • Ensure accurate patient billing information is submitted appropriately.
  • Monitor incomplete records and communicate outstanding documentation needs.
  • Maintain strict compliance with HIPAA and patient confidentiality standards.
