Colonial Heritage ClubWilliamsburg, VA
Onsite

About The Position

Colonial Heritage Club is seeking a Director of Sales & Events, a relationship-focused individual responsible for filling the event calendar and ensuring flawless execution. This role encompasses managing the full sales cycle for weddings, golf outings, and social events, from initial prospect engagement through to event completion.

Requirements

  • Two or more years in a supervisory sales, catering or event role in a club, resort, hotel or hospitality setting — with a record of hitting revenue goals.
  • Proven ability to prospect and close, not just service inbound inquiries.
  • Strong organizational and multitasking skills; calm and detail-oriented under pressure.
  • Excellent written and verbal communication with members, residents, guests, staff and vendors.
  • Proficiency in Microsoft Office and Google applications, and the ability to learn club, POS and catering systems.
  • Flexible availability including nights, weekends and holidays; valid driver's license and dependable transportation.

Nice To Haves

  • Degree in hospitality, business or a related field preferred, or equivalent experience.
  • Golf outing and wedding sales experience a plus.

Responsibilities

  • Own the sales plan for weddings, banquets, meetings, golf outings and social events — goals, forecasts and pace to budget.
  • Prospect consistently: outbound calls and visits, planner and vendor relationships, area hotels, the tourism community and referral partners.
  • Log every lead and follow up promptly.
  • Prepare proposals, rate agreements and contracts that maximize profit while satisfying the guest; conduct site inspections and client entertainment regularly.
  • Serve as the client's single point of contact from inquiry through follow-up — menus, room sets, timing, head counts and billing.
  • Complete a Banquet Event Order for every function, reviewed by the GM and approved by the client before distribution.
  • Distribute the event calendar weekly and BEOs, resumes and diagrams ten days out.
  • Keep every department aligned on client expectations, following up so each request is executed to contract.
  • Establish client billing ten days prior to arrival; secure AV and specialty linen by PO in advance; verify deposits, guarantees and methods of payment.
  • Coordinate golf outings end to end with golf operations — format, pairings, on-course F&B, scoring and awards.
  • Be present on event day: greet the host, oversee setup, and stay in contact throughout the function.
  • Reconcile final billing promptly and gather feedback to drive repeat and referral business.
  • Support club marketing and member/resident event promotion, and uphold Up To Par Management standards, safety and responsible alcohol service.
