About The Position

Vieux Vins Group is seeking a Director of Operations to manage their new Portland facility. This facility serves a dual purpose: it is the licensed Oregon wholesale operation for Bridge City Provisions and the West Coast hub for The Rare Wine Vault, a private storage service for collectors. The Director of Operations will have full accountability for all aspects of the facility, including the wholesale operation, private client storage, warehouse team, and the physical space. This is a hands-on, on-site role with significant authority, involving team hiring, standard setting, and performance ownership. The role requires managing two distinct operations under one roof: a regulated wholesale business that must be accurate, fast, and clean, and a premium private client storage service that requires meticulous attention to detail and client service akin to a private bank.

Requirements

  • Real experience running a warehouse or distribution site, including hiring, managing, and terminating staff.
  • Hands-on experience with inventory and fulfillment processes: receiving, allocations, pick and pack, discrepancy resolution.
  • Comfort with data analysis, including identifying root causes in spreadsheets.
  • Working knowledge of an ERP and a warehouse management system.
  • Comfort operating in a licensed, regulated business environment, or the ability to learn quickly.
  • Ability to make difficult staffing decisions and maintain composure.
  • Proven ability to enter an unfamiliar field, learn it, and succeed.

Nice To Haves

  • NetSuite experience is a plus.
  • Wine distribution or wine sales experience is a plus.

Responsibilities

  • Full accountability for everything that ships, receives, or is stored at the Portland facility.
  • Hiring, performance management, development, and termination decisions for the Portland team.
  • Setting operational standards and building a positive company culture.
  • Ensuring proper separation between the licensed wholesale space and the private client storage space, and maintaining records to prove it.
  • Managing order accuracy, fill rate, and on-time delivery for wholesale orders.
  • Overseeing inbound receiving for accuracy, speed, and discrepancy resolution.
  • Maintaining records required by the Oregon wholesale license and serving as the point of contact for regulators.
  • Reviewing and optimizing freight and carrier rates for Oregon outbound shipments at least twice annually.
  • Growing the wholesale operation by adding new customers.
  • Establishing and running the private client storage operation as a business, including intake, bottle-level accuracy, extraction requests, and client service.
  • Managing occupancy and space utilization against the rate card, and ensuring accurate monthly billing.
  • Handling inbound wine from outside vendors according to published standards.
  • Becoming the Portland expert in NetSuite and utilizing it effectively.
  • Ensuring inventory accuracy, inventory turns, and space utilization are tracked and reported accurately.
  • Conducting weekly and monthly reviews of results, identifying root causes for exceptions in receiving, order entry, fulfillment, shipping, and storage.
  • Serving as a resource for other company sites seeking operational guidance.
