About The Position

The Operations Director (OD) will be a practicing Catholic, supporting the Catholic Church teachings, mission and values, serving as the professional administrator and strong strategic leader for the St. John Paul II Newman Center within the Archdiocese of Chicago. The OD assists the Director & Chaplain of the Newman Center with the stewardship of the human, financial, and physical resources of the parish, in accordance with Archdiocesan policies and guidelines. This role will be responsible for day-to-day operations of the Newman Center, while aligning operational strategies with the Newman Center’s mission. In this critical role, the OD will possess a Service Mindset, while being entrusted with highly confidential information, to work closely with the Chaplain and the appropriate Archdiocesan administrative staff, and to drive positive financial and operational performance of the Newman Center. The OD demonstrates the ability to identify opportunities for improvement, evaluate issues and situations, and propose and implement recommendations/solutions.

Requirements

  • Must be Catholic and demonstrate understanding, respect and support of the Catholic Church teaching, mission and values.
  • Experience in Accounting, Finance, or related business practices.
  • Bachelor’s degree in related field
  • Able to identify opportunities for improvement, evaluate issues and situations, and propose and implement recommendations/solutions.
  • Strong proficiency in QuickBooks and Microsoft Office, especially Excel.
  • Experience in Human Resources practices, including people leadership, interviewing and selection, and policy application.
  • Be able to be entrusted with highly confidential information.

  • Experience with a not-for-profit organization or in Church management.

Responsibilities

  • Works with the Archdiocesan accounting staff to prepare, evaluate, and communicate the Newman Center budget, annual report, profit & loss, balance sheet, accounts receivable, accounts payable, and general ledger.
  • Manages and processes purchasing card expenses, including allocations and monthly reports.
  • Processes all invoices, check requests, and employee expense reimbursements and manages the invoice log to make sure all checks are sent to their respective vendors in a timely manner.
  • Supervises payments for regular bill payments for the Newman Center (700 S Morgan) and rectory building (826 S Morgan) and seeks out more efficient ways to manage bills.
  • Develops monthly variance reports and reforecasts. Reviews all reports with the Chaplain, Director of Development, and Newman Center Advisory Board.
  • Ensures proper internal controls are in place and followed.
  • Serves as Newman Center representative to banks, manages accounts, and identifies and resolves discrepancies.
  • Oversees purchasing, contract negotiations, and vendor relationships.
  • Assists the Director of Development with capital campaign pledges and collections, fundraising events, annual appeals, Newman Center offertory collections, and stewardship.
  • Utilizes Archdiocesan best practices.
  • Confirms that all federal, state, and local taxes are paid in accordance with federal, state and local regulations and that tax-exemption is honored when applicable.
  • Manages major and minor repairs, renovations, and capital projects in accordance with Archdiocesan policies.
  • Acts as liaison to Archdiocesan administrative agencies.
  • Manages custodial maintenance functions for the Newman Center and the rectory building.
  • Supervises the Newman Center’s security, leasing, rental, facility usage, and scheduling and acts as a liaison to local government agencies (as needed).
  • Maintains inventory of janitorial, office, food/beverage supplies, and paper products for the Newman Center.
  • Works closely with the Vicariate Human Resource Manager regarding all HR policies.
  • Oversees and manages the recruitment, scheduling, paperwork, and accountability of the Newman Center’s Student Workers.
  • Manages the onboarding of new staff members and student workers, including keys, in-services, etc. as applicable.
  • Tracks the Newman Center event attendance and manages a database to monitor student participation.
  • Maintains Information Technology including but not limited to internet, phones, printer, etc. for both the Newman Center and the rectory building.
  • Oversees the management of the Newman Center’s operational and financial records.
  • Maintains and communicates the Newman Center’s sacramental records, as needed and as requested.
