About The Position

The Clinic Manager is responsible for the overall operational, financial, and personnel management of multiple physician practices and satellite clinic locations. This position provides leadership and oversight to ensure efficient daily operations, exceptional patient experiences, regulatory compliance, and achievement of organizational goals. The Clinic Manager collaborates with providers, department leaders, and administrative staff to optimize clinical workflows, improve patient access, and support the strategic growth of outpatient services.

Requirements

  • Bachelor's degree in Healthcare Administration, Business Administration, Nursing, or related field preferred (Can substitute with experience).
  • Minimum of five years of progressive healthcare management experience.
  • Experience managing multiple clinic locations preferred.
  • Experience in physician practice management strongly preferred.
  • Supervisory and budget management experience required.
  • Mandatory CPR Certification (can be obtained upon hire).
  • Familiarity with medical software, electronic health records (EHRs), and other relevant technologies.
  • Knowledge of physician practice operations and healthcare regulations.
  • Strong leadership and personnel management skills.
  • Ability to analyze operational and financial data.
  • Excellent organizational, problem-solving, and decision-making abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in electronic health record (EHR) systems and practice management software.
  • Ability to travel routinely between clinic and satellite locations.

Responsibilities

  • Direct and oversee the day-to-day operations of multiple clinic locations and satellite offices.
  • Standardize policies, procedures, and workflows across all assigned clinics.
  • Ensure clinics operate efficiently while maintaining high-quality patient care and service standards.
  • Monitor clinic productivity, patient flow, scheduling practices, and resource utilization.
  • Identify opportunities for process improvement and implement operational enhancements.
  • Coordinate opening, closing, relocation, or expansion activities for satellite clinic locations.
  • Recruit, hire, orient, train, and retain clinic personnel including some aspects of new provider credentialing.
  • Provide leadership, coaching, mentoring, and performance management for assigned staff.
  • Conduct annual performance evaluations and ongoing performance discussions.
  • Manage staffing schedules to ensure appropriate coverage at all clinic locations.
  • Promote employee engagement, accountability, and a positive workplace culture.
  • Address employee relations issues in collaboration with Human Resources.
  • Active participation in relevant meetings such as Director’s meetings, Infection Control, Performance Improvement, and Safety Committee.
  • Maintain administrative documents.
  • Monthly audits.
  • Payroll oversight.
  • Develop and manage clinic operating budgets.
  • Monitor revenue cycle processes, including registration, scheduling, charge capture, coding, and collections.
  • Analyze financial, productivity, and operational reports.
  • Identify opportunities to improve revenue, reduce expenses, and increase operational efficiency.
  • Monitor provider productivity and clinic performance metrics.
  • Promote a culture focused on excellent customer service and patient satisfaction.
  • Monitor patient feedback and implement improvement initiatives when needed.
  • Ensure timely resolution of patient concerns and complaints.
  • Support quality improvement initiatives and organizational performance goals.
  • Supervise provider, patient and employee schedules.
  • Ensure compliance with federal, state, and local regulations.
  • Maintain compliance with HIPAA, OSHA, CMS, accreditation standards, and organizational policies.
  • Participate in regulatory surveys, audits, and inspections.
  • Ensure proper documentation and record-keeping practices throughout all clinic locations.
  • Run and maintain CLIA-waived laboratory needs within the clinic.
  • Serve as a liaison between providers, administration, and support departments.
  • Support providers by addressing operational concerns and removing barriers to efficient practice.
  • Collaborate with providers to improve access, patient throughput, and clinical quality outcomes.
  • Participate in strategic planning for outpatient services and physician practices.
  • Analyze community needs and assist with clinic expansion initiatives.
  • Support service line development and growth opportunities.
  • Collaborate with leadership on long-range planning and operational goals.
