About The Position

New Covenant Academy (NCA) is a Christian School serving grades Jr.K-12. NCA is seeking a qualified candidate for the role of Director of Operations and Support Services. This is a full-time role for immediate placement. Candidates must be able to fulfill the NCA faith-based Mission and meet the applicable qualifications. The primary function of the Director of Operations and Support Services is to serve as an operational strategic leader responsible for maintaining operational excellence and fiscal prudence across two campus locations in the areas of facilities, technology, transportation, and safety. The actions of the Director of Operations and Support Services must always be aligned with NCA’s mission, vision, and core values, with the goal of providing students and staff an optimal environment in which to work, learn, play, and develop that is safe, attractive, comfortable, clean, and efficient.

Responsibilities

  • Develop and implement school-wide non-instructional systems and procedures that ensure operational excellence within the school, including facilities/grounds, technology, and transportation across two campus locations.
  • Work with Human Resources to recruit, hire, lead, manage, evaluate and/or dismiss staff in relevant areas of operations such as custodians, technology support technicians, and bus drivers.
  • Develop strategic short-term and long-term planning for the facility/grounds, technology, and transportation, considering school needs, operational budget, and the School Continuous Improvement Plan (CSIP) in collaboration with the Head of School.
  • Support the development, management, and maintenance of the procurement lifecycle, including vendor selection, purchase order management, materials requisitioning and receiving, and inventory management.
  • Collaborate with the CFO in the development of the annual budget to ensure the school meets its financial goals and adheres to processes for spending authority per board policy.
  • Meet with school leadership regularly to discuss goals, progress towards goals, trends, challenges, areas for growth, and action plans.
  • Report on the status of district operations at the request of the Head of School.
  • Attend and/or prepare monthly reports for the Board of Directors as requested by the Head of School.
  • Manage the logistics of school operations related to daily schedules and ensure sufficient support staffing (in technology, custodial, and transportation) for school events at all times.
  • Participate in professional development opportunities as requested by the Head of School.
  • Responsible for the physical operation, appearance, and cleanliness of the school to ensure a proper learning environment.
  • Responsible for the project management of new facility updates, remodels, and projects under the direction and collaboration with the Head of School.
  • Develop a strategic plan to delegate tasks and prioritize repairs, maintenance, and groundskeeping.
  • Regularly inspect buildings and grounds while working with the principals to assess needs.
  • Develop a system to proactively maintain both campuses, prevent deferred maintenance, and avert operational disruptions.
  • Study work schedules and estimate work hour requirements for completion of facility job assignments.
  • Collaborate with the administration in reviewing and developing policy and procedure related to facility building and grounds keeping.
  • Recommend measures to improve methods and equipment performance.
  • Handle after-hours facility emergencies either via personal attention or delegation.
  • Collaborate with the Athletic Director on the needs and effective operations of the sports fields.
  • Oversee usage and rental of the facility.
  • Oversee an accurate inventory of buildings and equipment.
  • Develop a system to manage timelines and the bid process for facility development projects, acting as a liaison between contractors and NCA administrators.
  • Collaborate with the CFO and Head of School to make recommendations for capital improvements.
  • Strategically hire needed third-party vendors and contractors to ensure compliance with contractual agreements and budgetary restrictions.
  • Arrange bids and develop specifications for all outside contractual work.
  • Arrange vendors for trash removal, pest control, health inspections, etc.
  • Ensure the school is in compliance with playground safety.
  • Develop, maintain, and report all school-related environmental, health, safety, and maintenance standards to ensure compliance with applicable regional, state and federal regulations and laws.
  • Assure the maintenance of hazardous materials and blood-borne records.
  • Collaborate with the CFO for budgetary approvals to hire custodial staff.
  • Complete the hiring, ending of employment, and evaluation process of custodial and maintenance staff per the school handbook.
  • Schedule and manage personnel in compliance with the NCA handbook.
  • Ensure staff obtain the necessary training for safety and proper handling of materials.
  • Interpret school policies to workers in collaboration with Human Resources.
  • Interpret and/or prioritize job orders to workers and assign duties.
  • Analyze and resolve work problems or assist workers in solving work problems.
  • Collaborate with the principals to maintain and ensure ongoing campus security as it relates to facility issues.
  • Arrange for the appropriate “keying” of areas and provide keys to authorized employees as requested.
  • Perform other duties as directed by the Head of School.
  • Responsible for the administration of essential operations to ensure optimal technology function and support.
  • Oversee the computer/server operation and environment.
  • Provide information, direction and/or recommendations regarding network installations and configurations.
  • Resolve network operation issues.
  • Provide technical support to school employees and students.
  • Develop a technology plan that supports current industry standards, in collaboration with school administration to include phone systems, network systems, educational classroom support, and all applicable technical communication systems for both campus locations.
  • Assist NCA in becoming a leader in the area of technology for Jr.K-12 grade student advancement and success.
  • Ensure the administration, development, installation, and maintenance of technical systems and servers at both campus locations.
  • Collaborate with the administration to strategically plan the analysis of software in the business office and student CRM.
  • Make recommendations for new systems, oversee the migration to new systems, and schedule installations, product research, etc.
  • Oversee the bid process and recommend equipment, supplies, and materials for the purpose of acquiring required items and completing jobs efficiently.
  • Prepare and/or review written materials such as policies and procedures for network facilities, system-level documentation, reports, etc.
  • Collaborate with the CFO for budgetary approvals to hire transportation staff.
  • Manage the hiring, ending of employment, evaluation process of transportation staff per school handbook.
  • Manage transportation personnel in compliance with the NCA handbook.
  • Support and oversee the administrative assistant in the responsibility of scheduling qualified drivers in alignment with school policy.
  • Ensure the appropriate drug testing is done for bus drivers.
  • Ensure all transportation rules and regulations are followed.
  • Perform other duties related to transportation as assigned by the Head of School.
  • Manage staff in related areas.
