About The Position

The Director of Human Resources / Assistant to Chief Administrative Officer position is to ensure that the financial and human resource processes are efficient to support the ministry and resources are stewarded well and recorded. This position includes ensuring that the administrative processes are efficient to support the ministry. Maintains operations by following policies and procedures and reporting needs.

Responsibilities

  • Prepare correspondence and reports for CAO as directed
  • Schedule and plan all staff travel as directed by CAO
  • Plan and prepare materials for staff retreats and other meetings as directed
  • Research resources needed to operate the CAO’s office and look to mentor churches and Executive Assistants
  • Prepare monthly reports as directed by CAO
  • Assist CAO in performing Staff Evaluations
  • Leadership Development (EA Resources, Leadership books, podcasts, etc)
  • Manage scheduled / routine maintenance with approved vendors
  • Review maintenance service requests weekly
  • Communicate with vendors and schedule service if outsourced
  • Communicate with facilities team coach if in-house
  • Manage room/building usage requests
  • Establish a clear process to roll out to the staff
  • First line of communication for funerals and other outside requests- Mandi
  • Update master calendar as needed

  • Coordinate all travel and administration for interview candidates.

  • Set up Faith Family Church email accounts for new hires
  • Hire and onboard employees through BambooHR
  • Ensure completion of all required onboarding paperwork and tasks
  • Facilitate completion of all general onboarding and training requirements
  • Submit required hiring paperwork to Payroll to ensure accurate payroll setup
  • Staff Travel Coordinator
  • Coordinate all conferences and trips for staff
  • Coordinate all travel, accommodations, transportation and itineraries for staff when attending conferences or work-related events.
  • Oversee Admin/Reception Team
  • Update/remove profiles in database as needed
  • Purge database of duplicate profiles
  • Schedule and maintain the receptionist rotation
  • Daily coverage of the reception area from 10 am to 4 pm
  • Answer phones and email messages to the proper channels
  • Receive deliveries and notify recipients
  • Host arriving guests, have them sign in, and notify staff of arrival
  • Assist in clerical/admin needs as necessary

  • Provide visionary leadership to the following Sunday AM teams: Data Entry Schedules
  • Responsible for ensuring that all team members under your oversight are on a monthly schedule, serving regularly, and fulfilling their God-given potential.
  • All teams are following the meeting guidelines adopted in 2022
  • Responsible for communicating weekly with your team leaders under your oversight and that your team leaders are communicating weekly with their teams.
  • Follow communications strategies adopted in 2022
  • All Team messaging goes through the Church Center app
  • Responsible for spending 2-4 hours a week caring for and connecting with the people of FFC through phone calls, meetings, and emails.
  • Responsible for responding to any team member under your oversight that is facing a crisis care situation such as a death in the family, funeral, hospitalization, or offense
  • Enthusiastically lead a small group in each of the 3 small group semesters.
  • Help recruit and laun ch 5 small groups in the Spring/Fall semester.
  • Responsible for assisting new Dream Team members under your oversight find their place within the Dream Team culture.
  • Ensure that all teams under your oversight are havin g 4 fellowships per year and 4 pieces of training per year. (once per quarter)
  • Responsible for ensuring all teams are being led by an approved leader.
