About The Position

The Director of Fiscal and Business Operations provides management and oversight at the Dean’s Office level of all financial, human resources, and operational functions of multiple academic and research units comprising one of three divisions in The College of Liberal Arts and Sciences. The position reports to the Executive Director of Fiscal and Business Operations for The College and is the primary point of contact for Social Sciences division leadership and staff. The atmosphere is collegial, priorities are fluid and demands for assistance come from many directions. This position provides an opportunity to exercise initiative, work with very diverse populations and enhance leadership skills. Requirements

  • Bachelor's degree and seven (7) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.
  • Demonstrated knowledge of Arizona State University policies and procedures including but not limited to, financial controls, personnel (including academic personnel), purchasing and facilities.
  • Effective written and oral communication skills.
  • Ability to respond to rapidly changing priorities, which may include and/or are subject to resolution of conflicts.
  • Significant interpersonal interactions.
  • Must communicate effectively in both oral and in written format to perform essential job functions.
  • Daily use of computer, software, and office machines.
  • Must practice independent judgement and interpretation of policies.

Nice To Haves

  • Experience working in higher education, preferably in an academic unit or dean’s office.
  • Experience in budget preparation and forecasting, including variance reporting and trend analysis.
  • Experience with university/enterprise-level systems for payroll, budgeting, purchasing, and data acquisition (ex: Adaptive, Analytics, Workday, Concur, etc.).
  • Experience with leading, managing and motivating staff to create a positive culture.
  • Working experience with Microsoft Office and Google products, including Excel, Office, and Outlook.
  • Experience in preparing and presenting reports in a meaningful manner to assist with strategic planning and to make recommendations for higher level management decisions.

Responsibilities

  • Management of the divisional all-funds budget, expenditures, and personnel actions.
  • Tracking budget changes and managing commitments.
  • Providing information and making recommendations on various actions on both a routine and an ad hoc basis to the Dean of Social Sciences.
  • Developing and maintaining routine and special reports as requested.
  • Reviewing all documents that require Divisional Dean approval for appropriateness and compliance with University and College policies, including travel, personnel transactions and purchasing.
  • Coordinating College- or University-wide budget/personnel actions such as annual budget planning, hiring plan, forecasting, year-end processes, and salary increase programs.
  • Troubleshooting various problems that originate at the division unit level related to staffing or budget.
  • Coordinating with Dean’s Office colleagues to keep division unit staff informed of policy and procedure changes and to provide training and educational opportunities.
  • Leading regular operational meetings for Division staff.
  • Preparing and administering relevant agendas and providing meeting minutes.
  • Leading or serving on hiring committees in the units and providing financial and human resource backup when vacancies occur.
  • Mentoring, training, and providing indirect supervision/feedback to all lead financial staff members within the Social Sciences as it relates to budget and human resources.
  • Assisting colleagues with various College-level tasks that cross divisional lines as time permits.
