About The Position

The Director of Finance & Administration is responsible for the operational areas of facilities, security, general accounting, financial reporting, accounts payable and receivable, and other accounting and tax responsibilities of the Museum. The Director of Finance & Administration manages all aspects of the accounting for the Museum in coordination with the University’s Financial Services office, is a member of the Museum’s senior leadership team, and is responsible for delivering results on a day-to-day basis to enable the Executive Director to successfully focus on the strategic, long-term challenges, and major opportunities facing the organization. The Director of Finance & Administration demonstrates a familiarity with the Reynolda brand and leads the facilities, security, and finance operations with approachability and excellence and upholds the Museum’s vision and strategic directions in decision-making, interpersonal interactions, and communications.

Requirements

  • Bachelor’s in accounting or business with five to eight years of directly related experience.
  • Leadership skills that promote integrity, effective verbal and written communication, and motivation of staff and colleagues.
  • Collaborative style and ability to work within a team environment.
  • Strong intellectual skills with excellent business and financial acumen with ability to analyze financial data and prepare financial reports, statements and projections.
  • Knowledge of fund accounting to include individual donor funds, government grants and FASB accounting standards for Museum not for profit accounting.
  • Knowledge of and technical proficiency with automated financial and accounting reporting systems.
  • Strong communication skills, including both excellent written and verbal skills, which enable influence and impact with internal colleagues and external constituencies.
  • Ability to handle sensitive information in a confidential manner.
  • Ability to apply complex accounting principles, concepts, and regulations to practice.
  • Strong organizational and problem solving skills.

Responsibilities

  • Develop, implement, and monitor an appropriate system of policies for the Museum, internal controls, accounting standards, and procedures that align with the University.
  • Plan, coordinate, and execute the annual budget and forecasting processes.
  • Maintains records of assets, liabilities, income and other restricted funds and expenses.
  • Provide analytical and budget forecasting support to the Museum’s department managers.
  • Manages monthly and fiscal year accounting closing processes.
  • Coordinate the year-end audit, provide all audit client assistance schedules, interim and year-end financial statements with the University's Financial Services office for consolidation.
  • Reviews quarterly endowment information provided by the University’s Financial Services office and Verger Capital Management; ensures compliance with donor’s intent and appropriate use of restricted funds.
  • Coordinate with the Grants Manager to facilitate budgets and tracking of expenses and required financial reporting related to grants.
  • Responsible for account reconciliations to ensure timeliness and accuracy of financial records.
  • Prepares client assistance materials and coordinates preparation of outsourced completion and filing of the 990, 990-T, and other related tax returns.
  • Supervise and direct the work of the director of operations and business office staff.
  • Promote a culture of high performance, continuous improvement, and a commitment to quality.
  • Ensure Museum staff members receive timely and appropriate training and development on the Workday system.
  • Establish and monitor staff performance and development goals, assign accountabilities, set objectives, establish priorities, conduct performance appraisals, and administer salary adjustments.
  • Advise the Executive Director and other key members of senior management on financial planning, budgeting, cash flow, and policy matters.
  • Serve as the staff liaison to the Finance, Investment, and Audit board committee; effectively communicate critical financial matters at select board of directors and committee meetings.
  • Contribute to the development of strategic goals and objectives.
  • Work closely with the Advancement team on revenue goals and forecasting.
  • Maintain continuous lines of communication, keeping the Executive Director informed of critical issues.
  • Serve as talent liaison and institutional talent partner for the Museum and Reynolda Gardens to the University’s Human Resource and Payroll departments
  • Serve as Museum and Reynolda Gardens representative on several University financial committees/groups.
