Position Overview The Director of Facilities and Asset Preservation is responsible for leading portfolio-wide asset preservation, preventative maintenance strategy, capital planning, capital project execution, vendor management, and facilities-related operational improvement across a mixed-use portfolio of approximately 2,500 residential units and 200,000 square feet of commercial space. This role is focused on protecting the long-term value, condition, safety, and performance of Insite’s residential communities and commercial assets. The position partners closely with leadership, property operations, asset management, accounting, site teams, and maintenance leadership to identify asset risks, prioritize capital needs, improve preventative maintenance practices, and use data to support long-term facilities decisions. The Director of Facilities and Asset Preservation works closely with the Director of Maintenance, who remains responsible for overseeing day-to-day maintenance performance, including work order management, unit turns, and daily site support.

Requirements

  • Bachelor’s degree in Facilities Management, Engineering, Construction Management, Business, or a related field preferred.
  • Minimum of 5 years of maintenance management, facilities management, or construction project management experience, preferably in property management, multifamily housing, facilities management, or real estate.
  • Experience supporting maintenance or facilities operations across multiple properties or a large mixed-use portfolio, preferably including multifamily residential and commercial assets.
  • Strong experience in project management, building repair, preventative maintenance, asset preservation, and capital planning.
  • Extensive knowledge of building systems, maintenance best practices, OSHA standards, safety protocols, and regulatory requirements.
  • Demonstrated ability to use data, reporting, and analytics to improve planning, prioritization, cost control, and decision making.
  • Proficiency with maintenance management software and Microsoft Office Suite.
  • Must have reliable transportation, valid drivers license, and vehicle liability insurance.
  • Strong leadership and cross-functional collaboration skills.
  • Ability to partner effectively with operations, maintenance leadership, site teams, vendors, and executive leadership.
  • Strong problem-solving abilities and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to operate effectively in a fast-paced, high-volume environment.
  • Ability to balance strategic planning with practical field-level execution.

Responsibilities

  • Lead portfolio-wide asset preservation planning for residential and commercial assets.
  • Develop and manage preventative maintenance programs that protect building systems, extend asset life, and reduce emergency repairs.
  • Establish inspection standards, documentation expectations, and follow-up processes to identify asset risks, deferred maintenance, compliance needs, and capital priorities.
  • Use work order trends, inspection results, repair history, and asset condition data to identify recurring issues and recommend long-term solutions.
  • Partner with property operations, maintenance leadership, and site teams to ensure preventative maintenance practices are practical, consistent, and effectively implemented.
  • Travel regularly to communities throughout portfolio to conduct property inspections, assess asset conditions, and support preventative maintenance and asset preservation initiatives.
  • Lead short-term and long-term capital planning across the portfolio.
  • Evaluate property needs, building system conditions, inspection findings, operating data, ownership priorities, and financial objectives to recommend capital investment strategies.
  • Plan, budget, and oversee capital improvement projects and major repairs, including roofs, exterior repairs, mechanical systems, plumbing and electrical infrastructure, unit renovations, amenities, and other asset preservation projects.
  • Manage projects from planning through completion, including scope development, vendor selection, scheduling, execution, quality control, communication, and closeout.
  • Ensure capital projects are completed on time, within budget, and aligned with property needs, resident impact, and ownership objectives.
  • Develop and manage relationships with qualified contractors, service providers, and maintenance vendors.
  • Negotiate service contracts, pricing agreements, scopes of work, and project proposals.
  • Monitor vendor performance, maintenance-related expenses, capital spend, purchasing practices, and inventory controls to support cost efficiency and operational consistency.
  • Support annual property budgeting by identifying maintenance priorities, capital needs, deferred maintenance risks, and anticipated major repairs.
  • Ensure facilities-related work complies with applicable regulations, OSHA standards, housing codes, fire safety requirements, and company safety protocols.
  • Analyze work order trends, expense data, emergency repair frequency, recurring issues, vendor usage, and asset condition data to identify improvement opportunities.
  • Develop reports, dashboards, and performance tools that provide visibility into asset condition, capital needs, preventative maintenance completion, and facilities priorities.
  • Use data and maintenance management systems to improve planning, cost control, preventative maintenance execution, and long-term asset performance.
  • Support the implementation and optimization of maintenance management software, asset tracking tools, preventative maintenance systems, and operational reporting tools.
