About The Position

MidAmerica Nazarene University (MNU) is seeking a Director of Events and Conference Services (ECS) to provide leadership and resource support for campus-hosted and university-sponsored events. The Director will ensure professional, efficient, and Christlike customer service for all clients, both internal and external. This role is crucial for positioning ECS as a financially viable university asset through resource stewardship and revenue generation that supports the university's mission. The Director will also oversee the Bell Cultural Events Center (BCEC) and the Cunningham Student Center (CSC), managing their dual roles as academic/residential hubs and premier event venues.

Responsibilities

  • Create and maintain a campus-wide master event calendar.
  • Develop and maintain a comprehensive event management reservation system.
  • Provide logistical support for university-sponsored events.
  • Ensure professional and efficient client support for all events.
  • Compile comprehensive client resumes for internal reference and distribution to campus service providers.
  • Liaise with campus service providers (facility services, IT, campus safety, catering, etc.).
  • Establish standard menus, pricing, communication protocols, and service standards with Pioneer College Caterers.
  • Establish communication protocols, usage parameters, and occupancy guidelines with Residential Life.
  • Liaise with external vendors and service providers, developing preferred vendor relationships.
  • Administer summer conference programming.
  • Serve as BCEC director, overseeing its role as an event venue and academic home for the DFPA.
  • Represent BCEC within the university, with local/regional arts partners, and denominational entities.
  • Maintain communication with DFPA Chair and BCEC staff regarding utilization and programming support.
  • Administer the BCEC Box Office.
  • Supervise BCEC specific personnel.
  • Serve as a member of the BCEC Advisory Committee.
  • Create and maintain BCEC policy/procedure manual.
  • Administer any negotiated sponsorship or patronage program.
  • Attend DFPA faculty meetings when requested.
  • Serve as CSC director, in conjunction with the VP of Student Development, overseeing its dual role as home for Residential Life and an event hosting venue.
  • Represent CSC within the university, with local/regional organizations, and denominational entities.
  • Maintain communication with Student Development and CSC staff regarding support for residential life.
  • Supervise CSC specific personnel.
  • Develop and maintain operating budgets for ECS, CSC, and BCEC.
  • Develop and maintain pricing structures and usage guidelines for facilities, lodging, and meal service.
  • Actively recruit new clients for ECS, CSC, and BCEC to maximize revenue generation.
  • Execute and authorize usage agreements and contracts with external clients.
  • Execute and authorize invoicing and deposit procedures.
  • Authorize all ECS, CSC, and BCEC budget expenditures.
  • Provide financial reports as requested.
  • Develop and present periodic capital expenditure requests.
  • Ensure collection of current sales tax and proper documentation for exemptions.
  • Hire, supervise, and monitor performance of all ECS employees.
  • Hire additional professional support personnel as needed.
  • Hire, supervise, and monitor performance of all student workers.
  • Serve as a member of the university’s Emergency Operation Committee.
  • Maintain ECS emergency preparedness through regular review of emergency procedures.
  • Ensure clients are informed of campus-wide and facility-specific emergency protocols.
  • Monitor circumstances that may trigger emergency response strategies.
  • Provide leadership during emergency scenarios.
  • Ensure ECS personnel are informed/trained/certified in applicable risk management procedures.
  • Ensure current and sufficient insurance documentation is received from all contracted clients.
  • Develop and maintain ECS marketing collateral.
  • Ensure effective promotion of ECS, CSC, and BCEC events.
  • Liaise with off-campus entities (Chamber of Commerce, Convention and Visitors Bureau, etc.).
  • Represent ECS and University in a professional, Christ-like manner.
  • Maintain consistent communication with ECS, CSC, BCEC team, DFPA chair, and University Advancement leadership.
  • Provide supplemental presence at ECS-affiliated events as necessary.
  • Provide supplemental event support outside of normal working hours during special events or peak occupancy.
  • Maintain a flexible work schedule, including evenings and weekends.
  • Perform other duties as assigned.
