About The Position

The Director of Donation Center Operations (DDCO) is responsible for securing, storing, and distributing donated goods and goods purchased by The Spring to meet survivors’ needs. The DDCO is also responsible for selling excess donated merchandise to the public to generate revenue for The Spring’s programs and services. The DDCO provides on-site supervision of the daily operations of the warehouse, truck pickup service, donation acceptance/distribution functions, thrift store, boutique, and volunteer functions. The DDCO oversees the hard goods donation inventory, including the distribution of goods and supplies directly to survivors and to various program sites of The Spring. The DDCO works closely with program staff to ensure the donation center operation is survivor-focused and works closely with the fundraising team to nurture the many community relationships that generate the goods we distribute. They play a critical role in managing a comprehensive donor resource program, including soliciting, stewarding, and acknowledging those who donate goods to The Spring. The DDCO also is responsible for driving sales to the public by positively engaging customers, creating effective merchandising displays, and using The Spring’s social media channels to communicate sales information. The schedule for the DDCO position is Tuesdays through Saturdays.

Requirements

  • Bachelor’s degree strongly preferred.
  • 5+ years of progressively responsible management experience, ideally in a social services agency, is required.
  • Experience managing people is required.
  • Past experience working in retail or warehouse operations preferred.
  • Excellent organizational and leadership skills, outstanding communication and interpersonal skills, and high ethical standards are required.
  • Computer literate with working knowledge of Microsoft Office, spreadsheet, email, internet, and social media channels. Experience with design tools like Canva is helpful.
  • Must have ability to lead with confidence and minimal supervision.
  • Requires good communication skills, both written and oral.
  • Must understand domestic violence issues or be willing to learn.
  • Discretion in dealing with confidential material, flexibility and intercultural competence is required.
  • Strong presentation skills are required. Public speaking expected.
  • Cash register skills required.
  • Must be able to drive a box truck that is approximately 16’ long.
  • Must know or learn how to safely use a pallet jack, warehouse ladder, dollies, and hand carts to transport donated goods within the warehouse and store and to and from the box truck.
  • FCADV Competency-Based Core training plus an additional 6 hours of individualized training (30 hours total) to qualify for privilege status; must successfully pass written test
  • Requires ongoing 16 hours of DCF approved training annually after the first year.
  • Valid Florida Driver’s License with two years driving experience, active automobile insurance and an acceptable Motor Vehicle Report.
  • Must be able to pass and maintain a Level II background check
  • Employee will stand for an extended amount of time including, but not limited to, six to eight hour time periods.
  • Employee will often be required to lift up to seventy-five pounds.
  • Employee must be able to walk, stand, use hands, stoop/kneel and reach in the course of their job duties.
  • Employee must be able to talk and hear in an environment with moderate noise level.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception and the ability to adjust focus.
  • Position requires that the employee be able to travel between the organization’s sites and to off-site meetings.

Responsibilities

  • Creates and leads empowerment based, survivor-focused resource distribution program to survivors at The Spring.
  • Trains staff and volunteers to consistently deliver respectful, effective, and empowering service to survivors.
  • Monitors program to ensure high accountability for the quality-of-service participants receive and adjusts policies and practices accordingly.
  • Develops strategies for the collection and distribution of needed goods.
  • Maintains our “wish list” of in-kind donation needs and solicits donors when items are low and need replenishing.
  • Manages the flow of donated goods into The Spring’s program sites by coordinating with the Program Team.
  • Develops and trains staff on in-kind processes.
  • Facilitates a positive experience for donors and donation drive groups that encourages picture-taking and celebration.
  • Decides when to pick up donated goods with our agency box truck and coordinates pick-up times with the donors.
  • Facilitates the holiday donation program.
  • Solicits community distributors and vendors to donate products.
  • Ensures the designated spaces for receiving and storing donated goods are kept neat and donated items are promptly moved to their correct locations.
  • At all times, ensures the warehouse is safe and free of hazards.
  • When appropriate, suggests changes to improve the efficacy of the operation and implements those changes as they are approved.
  • Maintains and grows volunteer base through outreach to individuals, community-based organizations and groups, colleges/universities, and corporations as needed.
  • Manages orientation process for new volunteers and sets them up in volunteer software.
  • Provides accurate and timely volunteer data for funder and volunteer-requested reports.
  • Plans and executes volunteer appreciation events.
  • Develops and administers annual volunteer satisfaction survey, compiles and reports results.
  • Develops and manages volunteer policies, procedures, and standards of volunteer service.
  • Supervises and trains warehouse staff, retail staff, and volunteers/interns.
  • Performs employee hiring, discharging, and evaluating tasks.
  • Oversees opening and closing of the warehouse operation, retail stores, and online operations and ensures proper procedures are followed.
  • Utilizes communication and interpersonal skills to successfully establish and maintain professional relationships and work effectively with all levels of management.
  • Attends management meetings and trainings as required.
  • Ensures staff and volunteers follow all risk management guidelines (examples include team lifting, keeping walkways free of goods, etc.) to reduce risks to themselves and hazards for shoppers and participants accessing the participant-only goods.
  • Negotiates favorable terms with external vendors for the purchase of recycled goods.
  • Coordinates a mutually beneficial plan for the vendor to pick up their purchased goods and ensures the process is smooth and safe.
  • Builds relationships with customers and recommends, selects, and helps locate or obtain merchandise based on customer needs and desires.
  • Ensures the stores have adequate and efficient monetary controls. Reconciles daily cash receipts and deposits with store sales.
  • Stays current on laws and regulations which govern resale shops and ensures The Spring’s compliance with these regulations.
  • Establishes pricing guide and plan for periodic sales.
  • Performs other duties as assigned.
