About The Position

The Director of Data Management is responsible for compiling student data in Student Information Systems (SIS), Student Transcript System (STS), School Calendar System (SPC) and Curriculum (CUR), and for maintaining student data files. This role involves reviewing, managing, and implementing changes to the Student Information System (SIS), and coordinating the collection of all electronic student information from schools and other departments in a timely fashion in accordance with state Minimum Foundation Program (MFP) and student transcript deadlines. The Director supervises the upload of SIS data to the state, develops and manages ongoing training for staff on student information systems, and collaborates with other departments to maintain accurate student data records. This position also responds to data requests, adapts data collection to state requirements, and contributes to improving organizational effectiveness and service to stakeholders. Additionally, the role includes instructional leadership duties such as collaborating with school communities, reviewing and implementing policies, conducting site visits, supporting schedule preparation, participating in personnel staffing, and monitoring performance data and grading policies. The Director also manages the preparation and delivery of district and statewide testing, and assesses the impact of professional development.

Responsibilities

  • Compile student data in Student Information Systems (SIS), Student Transcript System (STS), School Calendar System (SPC) and Curriculum (CUR).
  • Maintain student data files.
  • Review, manage, and implement changes to the Student Information System (SIS).
  • Coordinate the collection of all electronic student information from schools and other departments in a timely fashion in accordance with state Minimum Foundation Program (MFP) and student transcript deadlines.
  • Supervise the upload of SIS data to the state.
  • Develop and manage ongoing training for school and central office staff who need access to student information, including trainings on SIS.
  • Coordinate with other departments to keep an accurate records of student data and implement changes for the betterment of the district.

  • Make changes in data collection in response to changes in state requirements.

  • Collaborate with school leaders and those providing direct student instruction as well as professionals providing ancillary services.
  • Review, draft, study, recommend, and implement policies, curricula, and plans to improve the quality of instruction and school climate and culture.
  • Conduct site visits and classroom walk-throughs.
  • Support leaders in the preparation of school and class schedules.
  • Participate in the staffing of the school via the recruitment, interview, and selection and/or assignment of personnel, subject to superintendent approval.
  • Attend meetings generally associated with the instruction of students, including instructional leadership team meetings and clusters.
  • Monitor, track, and analyze any performance data.
  • Supervise the implementation of equity and effectiveness in all grading policies, including district, school, and classroom grading practices.
  • Manage the timely preparation and delivery of district and statewide testing.
  • Plan for and assess the overall impact of professional development activities on improving teaching and student learning.
  • Secure the necessary resources for meaningful professional growth, including the time for planning and the use of emerging technologies.
  • Supervise other leaders including Principals where applicable, Directors, Coordinators and all others reporting to the employee or for whose supervision the employee is responsible, as applicable.
  • Complete and/or assist in the preparation/implementation of employee observations, evaluations, IAPs, and other associated tasks and monitoring.
  • Apply laws, policies, regulations, and procedures fairly, consistently, wisely, and appropriately.
  • Manage time and delegate appropriate administrative tasks to maximize the attainment of district and school goals.
  • Maintain office space and work areas in a clean condition through the oversight of staff and contracted services, as applicable.
  • Maintain a productive culture of teaching and learning.
  • Attend faculty, staff, department, and central office/principal meetings, as applicable.
  • Establish school policies governing students and employees.
  • Attend professional development or training sessions.
  • Attend job fairs and related events as needed.
  • Attend IEP, MDR, and A/BIT meetings as needed.
  • Attend back-to-school, open-house, graduation, and other school/community events.
  • Interview, employ, and complete necessary hires to staff schools, and any employee in the Teaching and Learning unit.
  • Attend PIP, Evaluation, Observation, IAP, and student discipline meetings/hearings.
  • Attend school board committee, regular board meetings, or special board meetings upon request.
  • Participate in the preparation of necessary curriculum documents.
  • Maintain positive parent and community contact and problem-solving.
  • Represent the district at all functions and/or meetings at which a district representative is required.
  • Perform any extra-curricular activities as determined by the supervisor/principal.
  • Meet with teachers or staff members to discuss school operations, student progress, or upcoming events.
  • Review and finalize budgets, reports, or administrative tasks.
  • Plan, lead, facilitate, and participate in professional development workshops or training sessions.
  • Handle discipline issues or address any urgent matters that arise during the day.
  • Collaborate with community organizations or partners to support both school and district programs.
  • Plan and strategize for future school and district wide improvement initiatives.
  • Support extracurricular activities or athletic events that take place during and after school hours, including, but not limited to, after-school tutoring and other students’ services.
  • Provide additional supervision or support for other district personnel, school leaders, teachers, and students who may need extra help or assistance.
  • Manage time and delegate appropriate administrative tasks to maximize the attainment of both district and school goals.
  • In collaboration with the central office staff, develop safety and emergency operations plans and supervise regular safety drills.
  • Foster an overall climate that supports both student and staff success and promotes respect and appreciation for all students, staff, and parents, who feel valued and belong to the school community.
  • Support services such as transportation, food, health, and extended care responsibly.
  • Support the operations staff with establishing procedures for the safe storing and integrity of all public and confidential school records.
  • Monitor and evaluate school operations and use feedback appropriately to enhance effectiveness.
  • Ensure that student records are complete and current.
  • Assist and collaborate with the central staff for the smooth running of personnel management, emergency procedures, and facility operations as needed.
  • Maintain a visible and accessible presence in the school.
  • Protect instructional time when scheduling events and communication efforts.
  • Ensure that school facilities are conducive to a positive school environment.
  • Maintain accurate and complete documentation for compliance, monitoring and auditing purposes.
  • Collaborate with other units and school administrators and personnel in order to ensure that all federally-funded expenditures are necessary, reasonable and allocable.
  • Perform other duties as assigned by the Executive Director of Teaching and Learning.
