About The Position

Founded in 1993, Portia Bell Hume Behavioral Health and Training Center is a federally certified Community Mental Health Center dedicated to expanding access to high-quality behavioral health care for under- and unserved communities across the Bay Area. What began as a single outpatient program in Central Contra Costa County has grown into a multi-county organization operating 15 programs across Alameda, Contra Costa, San Francisco, and Santa Clara counties. The Hume Center provides culturally responsive behavioral health services, professional training, clinical research, and community-based support designed to strengthen both individuals and the systems that serve them. Requirements

  • Bachelor’s degree required in Behavioral Health Administration, Business Administration, Healthcare Administration, Public Administration, Organizational Development or related field
  • 8+ years of experience in executive operations, project management, administration, or organizational leadership
  • Strong experience supporting senior executives or leadership teams
  • Excellent organizational, communication, and project management skills
  • Proficiency with Microsoft Office 365, Google Workspace, digital presentations, slide decks, project management/work management platforms, organizational change management software and AI-enabled productivity tools used to improve operational efficiency, project management, change management, reporting, scheduling, and administrative workflows
  • Ability to leverage technology and AI tools to streamline processes, synthesize information, and support organizational effectiveness within a nonprofit or mission-driven environment

Nice To Haves

  • Master’s degree in a Behavioral Health Administration, Business Administration, Healthcare Administration, Public Administration, Organizational Development or related field
  • Experience in nonprofit, healthcare, or behavioral health organizations
  • PMP, Lean Six Sigma, or related certifications

Responsibilities

  • Provide thoughtful, high-level administrative support to the CEO and Board Secretary on all Board-related matters, including coordinating board materials, meeting logistics, and maintaining accurate official records.
  • Lead and manage weekly Executive Team Administrative Sessions, including agenda development, meeting coordination, documentation, and follow-through on key action items and maintaining accurate official records.
  • Support the administrative components of Executive Team decision-making processes led by the CEO, including facilitating select operational or collaborative discussions as appropriate.
  • Coordinate the CEO’s participation in monthly Senior Leadership Team (SLT) meetings, including “spotlight program” presentations and specialized consultation opportunities.
  • Provide coordination and administrative support for the Professional Leadership Group (PLG) in alignment with organizational priorities and strategic initiatives.
  • Facilitate weekly tactical meetings with Vice Presidents and Senior Leaders, ensuring operational alignment while maintaining clear distinction from CEO-led strategic sessions.
  • Partner with administrative staff and provide guidance to the Corporate Office Manager and other assigned administrative staff, as needed, to support the smooth coordination and management of executive calendars and complex scheduling needs.
  • Provide high-level project management support for new proposals, organizational growth initiatives, and strategic projects aligned with the Growth & Evidence Pillar.
  • Provide guidance and oversight to administrative staff supporting Research and Development efforts, helping ensure grant timelines, deliverables, and provider development initiatives remain aligned with organizational priorities and the CEO’s strategic vision.
  • Serve as a key liaison between the Executive Office, CFO, and Contracts Department to support the coordination, monitoring, and timely advancement of high-priority agreements, contracts, and compliance-related milestones.
  • Provide supportive leadership and direct oversight to the Office Manager and assigned administrative staff, fostering a collaborative, responsive, and service-oriented environment.
  • Develop and maintain clear procedures and operational guides for the Executive Office to promote consistency, accountability, and sustainable organizational practices.
  • Maintain organized records of executive decisions, contracts, and key organizational milestones, ensuring continuity and preservation of institutional knowledge and professionally organized record-keeping.
  • Help uphold the organization’s expectation that meeting materials and supporting documents are submitted at least 24 hours in advance, supporting thoughtful preparation and effective use of executive time.
  • Serve as a central point of coordination for administrative and operational issues requiring executive review, helping organize information, briefings, and next steps to support informed decision-making by the CEO.
  • Manage and maintain the organization’s “Master Matrix,” tracking corrective actions and follow-through identified through Quality Assurance reviews, and ensuring updates are prepared for executive leadership review.
  • Serve as a neutral and trusted point of coordination for workplace concerns, helping identify when issues require formal discussion, leadership alignment, or executive consultation involving Human Resources, CEO and/or additional executive leaders.
