This role will lead and support graduate education initiatives, programs, and teams that drive student success.

Requirements

  • Work requires communications, analytical and organization skills generally acquired through completion of a bachelor's degree program.
  • Work requires six (6) years of experience in continuing education, curriculum development, counseling or other related higher education, administrative and personnel management or business capacity to acquire skills necessary to assist in planning, directing and coordinating various activities associated with educational counseling and the development of a variety of seminars, conferences, workshops and short courses.
  • Intermediate skills in Microsoft Office applications
  • Experience in or ability to learn administrative and database systems (SAP R/3, Peopleware, etc.).
  • The ability to communicate effectively with diverse individuals at all levels of the School of Medicine.

Nice To Haves

  • Master's degree or higher in a related field is preferred.
  • Experience in the biomedical education field is preferred.
  • Leadership, personnel management, and negotiation experience is strongly preferred.

Responsibilities

  • Participate in development and implementation of new graduate education initiatives, spanning curriculum, assessment and evaluation, professional development, admissions, student funding and program financial oversight, with the Associate Dean for Research Training, the Dean’s Office, and PhD program leadership.
  • Broadly oversee coordination and implementation of core programming and services including Responsible Conduct of Research, career exploration/diversification, trainee professional development, curriculum review/design, student and faculty training, student award/fellowship coordination.
  • Development and Maintenance of Duke Trainee Tracking Tool (T3). Manage continuing development and implementation, including current and future phases, maintenance of Faculty Research Series, data reporting and delivery to programs.
  • Partner with Duke Development offices to develop new initiatives and approaches to support PhD education.
  • Manage direct reports, [OBGE Assistant Directors of Admissions and Finance & Operations, Program Assessment Manager, Database Manager] and perform annual performance evaluations and goal setting.
  • Partner with the OBGE Associate Director for any management needs of the Assistant Director of PhD Student Success.
  • Provide broad oversight for each OBGE program administrator hub team and assist Assistant Directors, as needed, with annual performance evaluations.
  • Direct OBGE team members’ ongoing professional development and provide daily operational oversight of team members’ progress.
  • Broadly oversee the development and implementation of robust evaluation and assessment processes and systems for curriculum, student learning, programs, and services; provide oversight of program assessment, partner with other units to develop information technology applications and databases.
  • Broadly oversee admissions application and offer workflow, including organization and logistics of PhD recruitment visits (travel, accommodation, community dinner, communications), in support of the Assistant Director of Admissions
  • Broadly oversee PhD program operations and graduate student funding, in support of the Assistant Director of Finance and Operations
  • Broadly oversee with the OBGE Associate Director all student resources, workshops, and initiatives, in support of the Assistant Director of PhD Student Success and develop and implement new programs and initiatives to enhance the graduate training experience, recruiting efforts, and training outcomes.
  • Develop and implement community events and working groups for Program Administrators, Directors of Graduate Studies, and Directors. Provide updates and reports on relevant topics.
  • Provide onboarding information for new Directors of Graduate Studies (DGS) of SOM PhD programs in the form of resources, data, and relevant professional development/training opportunities.
  • Design responses to NIH expectations for programs and direct programming/initiatives stemming from this feedback and collaboration.
  • Partner with the Program Assessment Manager to provide comprehensive data rich reporting to SOM leadership on topics relevant to graduate education.
  • Liaise with the Graduate School and School of Medicine stakeholders on general policies, admissions, and finances for graduate programs administered in the School of Medicine.
  • Broadly oversee communications strategy, working with OBGE staff, OBGE hub team members, and Duke News and Communications team to disseminate news, events, opportunities/deadlines, student and faculty honors/awards and achievements to relevant audiences through periodic communications, regular newsletters, and website.
  • Monitor budget and spending and supervise budget development for the Office of Biomedical Graduate Education in collaboration with the Associate Dean for Research Training; broadly oversee PhD program budgets and spending with the Assistant Director of Finance and Operations; approve relevant expenditures according to the office workflow process (Concur and SAP).
  • Broadly oversee the Program Assessment Manager to provide biomedical graduate program data, including annual advisor data reporting.
  • Collaborate with various Duke data management teams, including OBGE Assistant Director of Finance and Operations, SOM Associate Dean for Finance, and The Graduate School, to create new data query/request workflows.
  • Perform other related duties incidental to the work described herein.
