About The Position

Common App is a national not-for-profit organization dedicated to the pursuit of access, equity, and integrity in the college admission process. Each year we support more than 1 million students, one-third of whom are first-generation, as they apply to our more than 1100 diverse member colleges & universities using the Common App's free online application. Common App is currently searching for a Digital Workplace Administrator. This position will serve as the primary system administrator and subject matter expert for Common App’s enterprise internal communication and knowledge management tools, with a primary focus on the Atlassian Cloud platform (Jira Software, Jira Service Management, Jira Assets, and Confluence) and Google Workspace environment. The Digital Workplace Administrator will own the configuration, optimization, governance, and adoption of these enterprise-wide platforms, acting as an evangelist for digital workplace tools, a training resource for staff across the organization, and a certified expert who ensures these technologies drive productivity, collaboration, and operational excellence.

Requirements

  • Candidates must live in the United States.
  • Willing to travel to attend twice annual Common App Retreat.
  • Deep proficiency in configuring and administering Jira Software, Jira Service Management, Jira Assets, and Confluence in a cloud environment, including workflows, permission schemes, automation rules, custom fields, and project/space governance.
  • Strong expertise in managing Google Workspace at the organizational level, including user and group management, organizational units, security configurations, DLP policies, Google Vault, mobile device management, and service-level access controls.
  • Demonstrated ability to design and optimize IT service management solutions using Jira Service Management, including request types, queues, SLA configurations, customer portals, and incident/change management workflows.
  • Experience maintaining structured data schemas, including Jira Assets object types, attributes, and relationships, as well as an understanding of relational data concepts and import/export configurations.
  • Familiarity with Jira Automation, Google Apps Script, or workflow automation tools (e.g., Zapier, n8n) to streamline repetitive administrative tasks and improve platform efficiency.
  • Ability to develop and manage a product implementation roadmap for enterprise SaaS platforms, synthesizing user requests, vendor feature releases, and organizational priorities into a prioritized backlog of enhancements.
  • Proven ability to plan, execute, and deliver technology projects independently, managing timelines, stakeholder expectations, and cross-functional dependencies from initiation through completion.
  • Familiarity with Agile frameworks and their implementation in Jira, including board configuration, sprint management, and backlog grooming, to support engineering and cross-functional teams.
  • Demonstrated skill in developing and delivering end-user training materials, documentation, quick-reference guides, and presentations that make complex tools accessible to non-technical audiences.
  • Proficiency in Jira Query Language (JQL), Confluence Query Language (CQL), and dashboard/report creation to deliver actionable insights and operational visibility to stakeholders.
  • Ability to clearly articulate complex technical concepts to non-technical stakeholders, produce well-organized documentation and governance policies, and present recommendations to leadership.
  • Experience evaluating, installing, configuring, and managing third-party apps and integrations from the Atlassian Marketplace and Google Workspace Marketplace, including cost-benefit analysis and security review.
  • Bachelor’s degree in Information Technology, Computer Science, Management Information Systems, or a related field; or an equivalent combination of education and experience.
  • 4–6 years of experience in system administration, SaaS platform management, or a related IT role with a focus on enterprise collaboration tools.

Nice To Haves

  • Awareness of and interest in emerging AI capabilities within Atlassian Intelligence, Atlassian Rovo, Google Gemini for Workspace, and other AI-driven productivity tools, with the ability to evaluate their applicability for the organization.
  • Understanding of ITIL service management principles and their application to service desk design, incident management, and change management within Jira Service Management.
  • Experience with organizational change management principles and techniques, particularly as they relate to technology adoption, platform migrations, and digital transformation initiatives.
  • Experience using tools such as Google Looker Studio, Jira dashboards, or eazyBI to create data visualizations and operational reports for leadership.
  • Experience working in a nonprofit, higher education, or education technology organization.
  • ITIL Foundation certification or equivalent IT service management credential.
  • Atlassian Certified Professional (ACP) certification in one or more of the following: Jira Administration for Cloud, Confluence Administration for Cloud, or Cloud Organization Admin.
  • Google Cloud certification as an Associate Google Workspace Administrator or Professional Google Workspace Administrator.
  • A passion for higher education is a plus.
