About The Position

Community Care Network is seeking a Developmental Disabilities Service Billing Clerk in Rutland, Vermont. Community Care Network is comprised of Rutland Mental Health Services and Rutland Community Programs. About the Role: The Developmental Disabilities Services (DDS) Billing Clerk is responsible for performing accurate and timely billing functions within the Accounts Receivable Department, with primary responsibility for DDS Medicaid billing and serving as a backup for Certified Community Behavioral Health Clinic (CCBHC) billing services. This position requires expertise in medical billing, a thorough understanding of Medicaid regulations, and a commitment to maintaining compliance with all applicable billing requirements.

Requirements

  • Higher education coursework or a degree in medical billing, coding, or a related field is preferred, or High school degree or equivalent with 2+ years of experience in medical coding.
  • Proven attention to detail and excellent communication skills, with the ability to work collaboratively across departments.
  • Strong understanding of medical coding principles (e.g., CPT, ICD-10) and medical billing practices, with specific knowledge of payer requirements for VT Medicaid.
  • Must have a valid driver’s license, reliable transportation, and personal automobile liability insurance coverage at or above the levels mandated by the State of Vermont.
  • Successful completion of a criminal history background check after hire.
  • Computer literacy including Microsoft 365 (Word, Excel, Outlook).

Nice To Haves

  • Experience with electronic medical records (EMR) and billing software is highly preferred.

Responsibilities

  • Submit DDS claims to Vermont Medicaid accurately and in a timely manner.
  • Research, resolve, and appeal billing denials; process and post DDS Vermont Medicaid 835 remittance files.
  • Generate and manage weekly accounts receivable aging reports to support timely reimbursement and follow-up activities.
  • Perform routine setup and maintenance of guarantors and client billing accounts.
  • Communicate professionally with clients, staff, and third-party payers regarding billing, coding, and reimbursement inquiries.
  • Maintain up-to-date knowledge of agency policies, CCBHC Medicaid requirements, DDS billing regulations, coding standards, and reimbursement guidelines.
  • Demonstrate a strong understanding of the electronic medical record (EMR) billing matrix to ensure accurate coding and assess the impact of system entries on billing outcomes.
  • Assist with other Accounts Receivable, Access, and Triage functions as assigned, including collecting and processing financial information, assessing clients' ability to pay, and managing fee collection activities.
