About The Position

This position will be based in Philadelphia, Pennsylvania. FIRE operates on a hybrid work schedule that allows for a mix of in-the-office and remote work for eligible employees. At certain times of the year, full time office work may be required. This position is not eligible for fully remote work. The Development Operations Manager ensures the smooth execution of all fundraising operations. This role oversees administrative processes and data management that support fundraising and donor stewardship. The ideal candidate is organized, and maintains high standards and attention to detail, even in routine or repetitive administrative tasks. This position has an immediate start date. This position involves minimal travel, with night and weekend work rarely required.

Requirements

  • A successful candidate will have a good work ethic, be a self-starter, and have the ability to work independently. This role requires someone who takes pride in accuracy and consistency, ensuring that even the smallest details are handled with care. Most importantly, the candidate must demonstrate a knowledge and passion for FIRE’s mission.
  • Two or more years of experience in operations or administrative roles.
  • The ability to work independently, manage multiple tasks, and meet deadlines.
  • Strong organizational skills.

Nice To Haves

  • Salesforce or other CRM experience is highly preferred but not required.

Responsibilities

  • Overseeing administrative processes for the Development department.
  • Maintaining and improving systems and workflows to support efficient fundraising and stewardship activities.
  • Overseeing donor acknowledgment processes, ensuring timely and accurate receipts and thank-you communications.
  • Coordinating with the Accounting team to ensure accurate gift processing workflows and documentation.
  • Ensuring accurate donor records, activity tracking, and correspondence in Salesforce.
  • Assisting the Annual Giving Director with the direct mail program, the membership program, acquisition efforts, and the tracking of fundraising campaigns.
  • Performing various administrative duties, including mailing letters, shipping promotional items, paying vendors, and creating gift agreements.
  • Serving as the primary liaison between the Development Department and the Data and Accounting teams.
  • Supporting team members in using data effectively for personalized stewardship, prospect management, and campaign planning.
  • Acting POC for donors who need to update their contact information, communication preferences, or other general record housekeeping.
  • Managing online donations, member portal updates, and keeping FIRE member benefits fulfilled.
  • Creating and executing standard operating procedures (SOPs) for recurring processes like monthly and annual giving programs.
  • Identifying automation and AI opportunities to improve efficiency.
  • Collaborating across the Development team to advance departmental goals.
  • Special projects as needed.
