About The Position

The Development Associate provides high-level administrative and operational support to the Chief Development Officer and development team to advance fundraising and donor engagement efforts. This role supports donor communications, prepares briefing materials, coordinates logistics, and ensures accurate data management and timely follow-up to strengthen donor relationships.

Requirements

  • Bachelor's degree, one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Proactive, self-motivated, and able to manage multiple priorities in a fast-paced environment.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong customer service orientation with the ability to manage internal and external relationships professionally.
  • Problem-solving mindset with a commitment to continuous improvement.
  • Ability to handle sensitive information with discretion and integrity.

Nice To Haves

  • Experience in a university or nonprofit fundraising environment.
  • Familiarity with CRM systems (e.g., VIP) and database management.
  • Experience working with complex information and multiple stakeholders.
  • Knowledge of University of Texas at Austin systems and processes.
  • Basic graphic design or presentation development skills.

Responsibilities

  • Coordinate calendars, schedule meetings, and manage logistics for the development team, including travel arrangements when needed.
  • Prepare briefing documents, correspondence, reports, agendas, and meeting notes for leadership and donor engagements.
  • Draft and support follow-up materials including contact reports, thank-you letters, and donor communications.
  • Maintain organized files and records for development activities.
  • Provide proactive administrative support to maximize the effectiveness of the CDO, directors, and team.
  • Support the preparation of donor-facing materials and communications.
  • Collaborate with development staff, faculty, and administrative partners to ensure a high level of professionalism in donor-related activities.
  • Maintain accurate donor records and document interactions in CRM systems (e.g., VIP).
  • Support gift processing, data integrity, and fundraising operations.
  • Assist in generating reports to track fundraising progress and effectiveness.
  • Assist with special projects, donor research, and event support as needed.
  • Develop talking points, collateral, and materials for donor meetings and events.
  • Liaise with internal partners to gather information in support of development priorities.
  • Perform other duties as assigned in support of the College of Education development team.
