About The Position

Provides support and assistance for all aspects of Philanthropy Engagement and the Annual Giving Program. Under direction of the Director responds to prospective and existing donors, toward the goal of strengthening relationships and increasing new memberships, retention, and pipeline activity.

Requirements

  • High school diploma or GED
  • Approximately 2-3 years of prior related experience in an administrative role, preferably in a development office or other high volume setting.
  • Knowledge of, and experience with fundraising database programs such as BBEC and Raiser's Edge.
  • Excellent computer skills including solid working knowledge of MS Office Suite and Adobe Creative Cloud. Ability to earn new computer software and applications.
  • Ability to communicate instructions and observations effectively verbally and in writing.
  • Strong organizational and communication skills as well as the ability to work independently.
  • Diplomatic and discreet. Must be able to handle confidential and sensitive information of often high-profile individuals with care and discretion.
  • Strong project management skills with a proven ability to achieve results and ability to prioritize work to meet multiple deadlines.
  • Ability to be flexible and can manage multiple duties simultaneously.
  • Excellent organizational skills include self-management of work schedule, ability to multi- task, and prioritize in a fast-paced environment.
  • Accomplished interpersonal skills with diplomacy and poise.

Responsibilities

  • Coordinates production of mailings for Annual Giving audiences which includes pulling donor lists from BBEC, circulating mail lists, obtaining photos for mailings, proofing mail materials, and ensuring appropriate codes are assigned to mailing segments.
  • Monitors Annual Giving budget by maintaining expense spreadsheet and alerting Director to any discrepancies between approved and actual expenses.
  • Maintains and monitors approval records for grateful patient quotes and response records for the Partner in Caring program.
  • Uses the BBEC database to review and research donor information for accuracy, making recommendations and corrections.
  • Responsible for database updates that may include contact and NCOA information updates, householding, grouping, adding/changing relationships, solicit codes, mail preferences, inquiry tracking, event attendance, and donor interactions.
  • Reviews incoming ASG gifts to ensure appropriate coding and handle any non-revenue related needs.
  • Monitors the Daily Gift Log to identify and request changes for uncoded ASG gifts.
  • Provides administrative support that includes preparing and drafting correspondence and thank you notes, scheduling meetings, and vendor management.
  • Attends fundraising events organized by the Development Office.
  • Monitors the prospective donor phone list and responds appropriately to inquiries.
