About The Position

The Philanthropy Associate will play an important role in all aspects of fundraising for Jacob's Pillow during his/her/their tenure. The Associate will be involved with essential areas, including gift processing on a daily basis, writing correspondence, acknowledgments, database entry, providing administrative support to the Chief Philanthropy Officer, as well as supporting the delivery of front line customer service and special events. This position is an opportunity to participate in many aspects of non-profit and performing arts fundraising and to be a key contributor to a high-performing and creative team.

Requirements

  • 1-2 years of fundraising or related experience required, with relevant and transferable skills such as customer relations and project management.
  • HS Diploma or Equivalent
  • Excellent organizational, written and oral communication skills.
  • Creative, attention to details, and goal-driven.

Nice To Haves

  • Associate’s Degree preferred
  • Direct experience with donor engagement in performing arts is preferred.

Responsibilities

  • Enter all gifts, grants, and pledges into the database, including appropriate coding, copying, and filing.
  • Work closely with both Philanthropy team-mates and the Business Office to answer all coding and list questions and reconcile donations directly with the Finance team on a regular basis.
  • Serve as a front-line customer service representative for the Philanthropy team as needed, both remotely and on the Pillow campus, when on site.
  • Support the Membership and Individual Support Manager to develop and implement both membership and annual giving donor appeals and renewals.
  • Create and deliver timely and meaningful acknowledgments for donations, and lead the process to be sure that all gifts are acknowledged within two business days of gift receipt.
  • Learn and anticipate donor relationships and provide timely updates to leadership about incoming gifts, contacts, and complaints.
  • Develop and deliver prospect profiles using the robust tools available and independent research.
  • Assist in delivering special events and programs both online and in-person to support stewardship and cultivation.
  • Generate lists with accuracy and timeliness.
  • Support the Philanthropy Operations Manager in assuring the accuracy of system data and monitor the resolution of data faults and errors through a process of weekly quality assurance.
  • Produce reports and assist with general analysis of data as it relates to fundraising and donor recognition.
  • Manage the coding of invoices and expenditures on a monthly basis for the department, as well as credit card receipt coding and filing for the Chief Philanthropy Officer and the Associate Director of Philanthropy, Major Gifts, and Individual Support on a timely basis.
  • Participate in organization-wide activities and planning.
  • Related tasks as assigned.
