About The Position

The Development Assistant provides essential administrative, fundraising, event, and donor-relations support to UJA-Federation of New York’s Long Island Division, which raises more than $16 million annually by engaging the local community. We are seeking an organized, personable, highly detail-oriented professional who can manage multiple priorities in a fast-paced, event-driven environment. The ideal candidate is proactive, resourceful, comfortable working with data and technology, and able to anticipate next steps. This role works closely with Development Executives, donors, lay leaders, colleagues across the Long Island office, and departments throughout UJA. This is an opportunity to play an integral role on a collaborative team while supporting fundraising, donor engagement, events, and community-building for one of the largest local philanthropies in the world.

Requirements

  • Bachelor’s degree required.
  • Strong proficiency in Microsoft Office, particularly Excel, Outlook, and Word; comfort learning fundraising databases, reporting tools, virtual meeting platforms, and emerging productivity/AI tools.
  • Exceptional organizational and time-management skills, with the ability to manage multiple events, reports, processes, deadlines, and changing priorities simultaneously.
  • Strong attention to detail and commitment to accuracy, including the ability to review and proof work before distribution or submission.
  • Excellent interpersonal, written, and verbal communication skills, with a warm, professional, and service-oriented approach to donors, volunteers, and colleagues.
  • Demonstrated judgment, initiative, critical thinking, and problem-solving skills; able to anticipate needs, troubleshoot issues, and follow through independently.
  • Collaborative team player who is flexible, dependable, receptive to feedback, and willing to support colleagues and cross-divisional initiatives.

Responsibilities

  • Provide day-to-day administrative support, including scheduling, meeting coordination, materials preparation, follow-up, and other related needs.
  • Support the planning and execution of major fundraising events, committee meetings, donor gatherings, and programs by maintaining timelines, tracking deadlines and deliverables, and coordinating logistics from planning through follow-up.
  • Coordinate event logistics including invitations, registrations, attendance tracking, seating assignments, name tags, materials, and on-site registration.
  • Maintain accurate donor and prospect information in UJA-Federation fundraising databases; perform searches, update records, and prepare giving, attendance, and other fundraising reports.
  • Provide responsive and professional support to donors, lay leaders, committee members, and colleagues by answering inquiries, drafting routine communications, and ensuring requests are appropriately addressed and followed through.
  • Process gifts, event registrations and payments, invoices, and other administrative transactions in accordance with UJA procedures.
  • Partner with internal departments such as Operations/Processing, Finance, Marketing & Communications, Print Services, Audio Visual/IT, Human Resources, and other UJA teams to coordinate event and fundraising needs.
  • Provide hands-on support before, during, and after meetings, events, and programs, including set-up, registration, materials, payments, seating, breakdown, and other on-site needs. Some events may take place outside normal business hours.
  • Contribute to a collaborative team environment by stepping in to support colleagues, sharing information, identifying solutions, and helping ensure that division-wide priorities are completed successfully.
