At PPTNM, the Development Assistant (DA) is a vital member of the Development team, helping ensure donors, supporters, volunteers, and community partners receive an exceptional experience while supporting the fundraising efforts that advance our mission. Reporting to the Manager, Development Operations (MDO), this role is ideal for someone who thrives on organization, accuracy, and managing multiple priorities with confidence. From maintaining donor records and coordinating communications to supporting fundraising campaigns, stewardship efforts, and special events, the DA provides administrative and operational support that helps ensure the smooth day-to-day functioning of the Development department. Requirements

  • Experience with Microsoft Word and Excel, working with database and internet research
  • Experience with a nonprofit CRM, such as Blackbaud Raiser’s Edge or Salesforce.
  • Knowledge of telephone and email protocols

  • Minimum of two years of administrative, fundraising, customer service, or office support experience preferred.
  • Previous nonprofit experience strongly preferred.
  • Experience working with a CRM platform such as Blackbaud Raiser's Edge, Salesforce, or similar donor management software preferred.
  • Proficiency with Google Workspace.
  • Experience with donor databases, fundraising systems, or constituent management platforms preferred.
  • Ability to occasionally work evenings and weekends in support of fundraising events and organizational initiatives.

Responsibilities

  • Support the MDO in maintaining the integrity, accuracy, and overall health of the constituent database.
  • Partner with the MDO to prioritize and respond to competing requests for donor data, reports, and information in alignment with established department priorities and timelines.
  • Develop and maintain proficiency in Blackbaud Raiser's Edge NXT and other development-related systems and tools utilized by the department.
  • Establish and maintain a regular schedule for database maintenance activities, including record deduplication, anonymous record management, National Change of Address (NCOA) updates, data audits, and other data hygiene initiatives to ensure accuracy and consistency.
  • Maintain current knowledge of database functionality, system enhancements, and third-party applications that support fundraising and donor management efforts.
  • Provide ongoing support to front-line fundraisers, leadership, and Development team members by fulfilling data requests, generating exports, creating customized queries and reports, and assisting with donor information needs.
  • Ensure a high-quality donor experience through timely gift acknowledgement.
  • Process gifts from individuals, corporations, foundations, and organizations received in a timely manner; organize and ensure appropriate retention of gift and donor documentation.
  • Generate gift acknowledgement letters, receipts, pledge reminders, membership renewal and welcome letters.
  • Assist with maintaining and updating donor acknowledgment letters, appeals, and other donor materials.
  • Proofread and copy edit as needed.
  • Support special events by assisting with event data management, gathering and preparing registration materials, ordering supplies, day-/night-of support as needed, and other duties as needed.
  • Assist Senior Leaders and Development team members with one-to-many donor communications, Governing Board communications, and scheduling.
  • Respond to requests for information from donors and volunteers in a professional and timely manner.
  • Handle administrative details associated with Development-related meetings (i.e. prepare and distribute notices, agendas, minutes, etc.).
  • Assist CDO, Director of Philanthropy and other Development team managers with administrative duties such as, but not limited to: scheduling meetings, arranging travel, monthly reimbursements and credit card receipts maintenance, donor engagement, database hygiene, and calendar scheduling and maintenance.
  • Coordinate the production of and distribution of donor meeting folders, event kits, and marketing and stewardship materials.
  • Organize and stock merchandise and swag inventory
  • Perform all functions with a high degree of accuracy and confidentiality.
