About The Position

The position is part of a Hybrid Desk Operations Team, requiring both on-site and remote support. On-site duties include assisting with patient check-in, registration, and front desk coverage. Remote duties involve managing in-basket messages, work queues, and scheduling tasks. Travel within a 60-mile radius of Owatonna, Minnesota, is required to support various clinic sites.

Requirements

  • High school diploma or GED required.
  • One year of customer service experience required (e.g., administrative, physician's office, appointment scheduler, or retail/service industry).
  • Computer skills including Windows-based applications and intranet/internet use.
  • Ability to keyboard and navigate through multiple applications.
  • Ability to work independently.
  • Goal-directed with strong organizational skills.
  • Ability to effectively multitask without compromising quality.
  • Ability to comprehend and excel in both verbal and written communication, including proper telephone etiquette, face-to-face interactions, and electronic communications.
  • Ability to communicate with individuals and small groups with credibility and confidence.
  • Ability to handle difficult situations, remain calm under stress, manage emotional situations, display empathy, and maintain positive communication during a rapidly changing/dynamic environment.

  • Coverage needs may include Owatonna, Waseca, Mankato, Austin, and Albert Lea.
  • Travel is required based on operational and staffing needs.

Nice To Haves

  • Associate's Degree and coursework in a healthcare related field is preferred (e.g., Administrative Clinic Assistant, Medical Office, Medical Assistant, Health Care/Medical Receptionist or comparable).
  • Completion of a Medical Terminology course preferred.
  • Exposure to electronic health record preferred.
  • Basic Life Support (BLS) may be required in some areas.
  • Individuals may also need to complete additional coursework upon hire.

Responsibilities

  • Facilitates patient visits and supports the health care provider by anticipating and responding to patient needs and requests of the health care team.
  • Coordinates complex appointment schedules and daily activities of care providers in a multispecialty medical practice.
  • Prepares patients and completes pre-examination record information.
  • Manages the flow of patient materials.
  • Obtains or verifies patient demographics and medical insurance information.
  • Advises patients of scheduling delays or changes.
  • Serves as a direct contact and resource to the patient.
  • Schedules and reschedules tests/consults requests from various venues of communication.
  • Performs related administrative duties such as processing ABN forms and insurance verification.
  • Processes patient appointment communications and related materials.
  • Navigates through multiple electronic applications and devices, and medical equipment (e.g., iPad/tablets, Text Reminder Notifications).
  • Assists patients in using Kiosks.
  • Provides on-site support for patient check-in, registration, scheduling, and front desk coverage.
  • Provides remote support by managing patient-related in-basket messages, work queues, and scheduling tasks.
  • Floats to assigned locations to assist with face-to-face patient check-in, registration, scheduling, and front desk coverage during staffing needs.
