About The Position

The California Desert Studies Consortium was established in 1974 as an academic collaboration among seven California State University campuses. The mission of the Consortium is to encourage the understanding of, and appreciation for, the California deserts by developing student academic skills and public awareness through a desert studies program which includes instruction, research, and special programs. This position is essential to the operation of the Desert Studies center, including the field station at Zzyzx, California. We seek an exceptional individual to join our team as the Desert Studies Coordinator (Administrative Support Coordinator I). Requirements

  • High School diploma or the equivalent and two years of experience in general office, clerical or administrative support work or the equivalent.
  • Training at a vocational school or full-time college education may be substituted for the required experience on a year for year basis.
  • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Thorough knowledge of office systems with the ability to use a range of technology, systems, and software packages.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to apply a variety of policies and procedures where specific guidelines may not exist.
  • Working knowledge of budget policies and procedures.
  • Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.
  • A valid California driver’s license.
  • A background check (including a criminal records check) must be completed satisfactorily and is required for employment.

Nice To Haves

  • Two years’ relevant experience working in higher education (preferably in the sciences) or related field or office.
  • Experience with reservations management or other hospitality services.
  • Experience with Completely Fair Scheduler (CFS) scheduling and financial reporting systems.
  • Interest in nature and/or desert systems.

Responsibilities

  • Providing essential clerical support for the CSU Desert Studies Consortium office and consortium programs, including operations of the Desert Studies Center (DSC).
  • Planning, initiating, executing, and coordinating activities and events with accountability for results.
  • Maintaining files, processing documents and records, gathering data, and interacting with and solving problems for work unit customers and staff.
  • Coordinating and overseeing reservation system, billing, purchases, service contracts, travel, and general accounting of department budget.
  • Using customer service and problem-solving skills to respond to customers via email, telephone, and in-person.
  • Using a variety of office support technology and systems to complete assignments.
  • Serving as the Department IT Coordinator (DITC).
  • Coordinating and scheduling meetings and events as needed.
  • Addressing a wide range of work unit problems that require interpreting policies and procedures.
  • Coordinating and working with individuals at all levels within the organization.
  • Other duties as assigned.
