About The Position

The Deputy Recorder position is responsible for recording and tracking real estate documents in accordance with state statutes. This role demands exceptional customer service, tact, discretion, and accountability for handling highly sensitive information. The position requires a thorough understanding of legal descriptions and statutory requirements for recording real estate documents, as well as the ability to review instruments for completeness and legal compliance, verify fees, and index documents. Daily imaging of documents for archival quality, proofing images for accuracy and clarity, and retrieving information for various stakeholders are key functions. The role also involves preparing and balancing daily reports on document recordings and fees collected, exercising discretion and independent judgment within prescribed limits, and making critical decisions based on experience and specialized training. Additionally, the Deputy Recorder serves as a Passport Acceptance Agent, processing passport applications accurately and in compliance with federal regulations. Other duties may be assigned as needed.

Requirements

  • Knowledge of state and federal laws related to recording real estate documents and plat review.
  • Strong interpersonal/communication skills.
  • Attention to detail and accuracy.
  • Ability to operate a computer, scanners, and basic office equipment.
  • Proficiency in specialized computer software programs.
  • Working knowledge of rules and regulations governing data practices, laws, and record retention.
  • Ability to multi-task under constant interruptions and compliance deadlines.
  • Must possess a current valid driver’s license for occasional travel for training purposes.
  • Must be a Certified Passport Acceptance Agent or complete certification process upon hire and successfully pass annual certification.
  • Must adhere to protecting personal identification information regarding passports, military discharges, and statutory privacy programs (Safe at Home/Judicial Security).

  • Four to six years of progressive related experience preferred.

Responsibilities

  • Record and track real estate documents per state statute.
  • Review instruments/documents for completeness, uniformity with legal standards, and verify appropriate recording fees.
  • Index real estate documents in the appropriate computer tract index.
  • Enter pertinent data into records software and proof information entered by other employees.
  • Perform daily imaging of documents/instruments to meet archival quality standards and proof images for quality control, accuracy, and clarity.
  • Retrieve information from real estate records as requested by title companies, lending agencies, attorneys, realtors, and the public.
  • Prepare and balance daily reports regarding the recording of documents and fees collected.
  • Serve as a Passport Acceptance Agent, processing passport applications without errors or omissions and compiling information for the federal government.
  • Perform other duties as assigned.
