About The Position

Situated in the Office of Compliance, the Deputy Public Records Custodian (DPRC) reports to the Public Records Custodian (PRC), who serves as the institutional Wisconsin Public Records Law compliance officer. The DPRC develops institution-wide policies in coordination with the PRC, independently manages a public records request caseload, develops and delivers public records trainings on campus in coordination with the PRC, creates public records guidance and procedures and provides consultation to personnel on matters regarding the public records law with the PRC. The DPRC works closely with institutional stakeholders such as the Office of Legal Affairs, Strategic Communications, Intercollegiate Athletics, Research programs and researchers, Business Services, UW-Madison Police Department and Cybersecurity.

Requirements

  • 4+ years experience in legal, regulatory, government compliance, or related field.
  • Ability to handle sensitive information and maintain confidentiality.
  • Excellent communication and collaboration skills.
  • Familiarity with or ability to quickly learn web-based workflow systems.
  • Demonstrated leadership skills.

Nice To Haves

  • Direct experience working with the Wisconsin Public Records Law in a decision-making role; or similar experience with the Freedom of Information Act or other states sunshine laws in a decision-making role.
  • Demonstrated ability to handle multiple complex projects with competing timelines and to work in a fast-paced work environment.
  • Demonstrated decision making skills and experience working in a collaborative decision-making environment.

Responsibilities

  • Independently manages a public records caseload, working with both internal partners and public requesters of records to ensure compliance with the law. (50%)
  • Directs operational activities such as management of incoming requests including assigning and categorizing requests with the Public Records Custodian. (20%)
  • Serves as a subject matter expert, providing guidance and oversight to university personnel on public records compliance, and related policies and procedures. (15%)
  • Serves on records or data related committees as a subject matter expert on the Wisconsin Pubic Records law where appointed or assigned. (5%)
  • Oversees, develops and participates in guidance and activities to raise awareness of the law and its purpose. (10%)
