About The Position

The Deputy Project Manager is responsible for supporting the planning, execution, and coordination of assigned workstreams or tasks within a project. This role requires a proactive approach to tracking schedules, monitoring risks, and ensuring documentation accuracy while maintaining compliance with company policies and industry standards. The Deputy Project Manager contributes to effective vendor coordination, stakeholder communication, and continuous improvement of project processes. Employees in this role must adhere to all company safety procedures and operational protocols to ensure standards are met. This position is based in Los Angeles, CA.

Requirements

  • Bachelor’s degree preferred.
  • CAPM certification or equivalent project management coursework is helpful.
  • 3–5 years of experience in coordination, analyst, or project support roles.
  • Exposure to infrastructure, technology, or engineering projects is an asset.
  • Familiarity with project planning and tracking tools (e.g., MS Project, Smartsheet, or equivalent).
  • Proficiency with MS Office Suite (Excel, PowerPoint, Word).
  • Ability to prepare project reports, dashboards, and risk logs.
  • PMP or CAPM certification considered an asset.
  • Organization & Reliability: Keeps tasks on track, meets deadlines, and ensures follow-through.
  • Proactive Learning: Seeks feedback, asks questions, and develops knowledge of project management practices.
  • Communication: Clearly and professionally shares updates with stakeholders.

Nice To Haves

  • PMP certification in progress or interest in pursuing it.
  • Experience coordinating client/vendor interactions.
  • Familiarity with invoicing and budget-tracking processes.

Responsibilities

  • Support project oversight and day-to-day coordination of assigned workstreams.
  • Track schedules, deliverables, documentation, and task progress to ensure deadlines are met.
  • Assist with budget tracking, forecasting, and preparation of project invoices.
  • Maintain risk logs and escalate issues as appropriate.
  • Support quality assurance by checking deliverables for completeness and compliance with project standards.
  • Provide updates to project managers, senior leaders, and clients as directed.
  • Coordinate with internal SMEs and external vendors for task execution.
  • Participate in meetings, prepare reports, and document progress.
  • Prepare meeting minutes, action item logs, and presentation materials for stakeholders.
  • Collaborate with cross-functional teams to support overall project delivery.
  • Follow all company safety protocols, industry standards, and regulatory guidelines.
  • Ensure project records, logs, and documentation are maintained in compliance with internal audit requirements.
  • Support adherence to quality and safety protocols during project execution.
  • Complete mandatory safety training and refreshers as required.
  • Assist in implementing new project management processes and tools.
  • Learn and apply project planning fundamentals (budgeting, scheduling, risk management).
  • Support vendor onboarding, task coordination, and contract administration activities as required.
  • Help maintain change request logs and issue registers; escalate items as needed.
  • Perform additional project-related responsibilities in support of the PMO and project leadership.
