Performs a variety of tasks which support the operations of the Court including scheduling cases, receiving, recording and filing documents; assisting the public; receiving and accounting for money. This role involves interviewing and collecting information from citizens, receiving, recording, and filing documents, assuring the scheduling of cases and hearings, and preparing and typing a variety of documents and records. The Deputy Probate Court Clerk also prepares and distributes court calendars, collects, receipts, and accounts for money, and responds to inquiries and complaints from the public. The position requires operating various office machines, with an emphasis on personal computers. Specific duties include calculating and receiving filing fees, placing cases on a cloud-based program, processing various legal documents such as Petitions, Caveats, Status Reports, Annual Returns, and Accountings. The clerk reviews filings for completeness and accuracy before submission to the judge, obtains necessary legal representatives like attorneys or guardians ad litem, and issues required legal notices or publications. The role also involves assisting with monitoring Estates and Guardianships/Conservatorships, scheduling hearings and trials, preparing and filing orders, and communicating with various state agencies. Additionally, the Deputy Probate Court Clerk prepares cases for appeal, scans filings into imaging software, accepts applications for Marriage Licenses and Weapons Carry Licenses, and handles background checks and necessary follow-ups for license applicants. Confidentiality of information is paramount, and the security of sensitive data must be ensured.
