About The Position

Under the supervision of the Juvenile Division Director/Referee and the oversight of the Juvenile Register, this role assists in processing and maintaining the records of the Juvenile Division. The position participates in the intake, review, and maintenance of documents related to juvenile delinquency, adoption, neglect, and other juvenile matters in the computer system. The role also schedules hearings as necessary.

Requirements

  • A high school diploma with supplemental vocational coursework in office techniques or a related field.
  • Two years of clerical responsibility, ideally in a court setting.
  • Experience and proficiency in Microsoft Office Suite applications.
  • Ability to access county locations.
  • Ability to use a computer and to learn how to use court database software.
  • Ability to communicate orally and in writing.
  • Ability to perform the physical tasks associated with office operations.
  • Ability to withstand prolonged periods of sitting in front of computer and/or in court.

Responsibilities

  • Receives, reviews, and files documents related to juvenile delinquency, neglect, adoptions, and other juvenile matters in OnBase.
  • Assists the Juvenile Register with steps necessary to initiate case as needed.
  • Coordinates scheduling of hearings with the attorneys and other involved parties and ensures compliance with mandated time frames.
  • Keeps the Judge and Referees’ calendars and docket system up-to-date.
  • Prepares all notices necessary for court hearings.
  • Reviews files and ensures their readiness for hearings, ensures proper noticing.
  • Ensures that all orders and forms are properly completed and sees that hearing dates are set.
  • Prepares files for Judge/Referees to review prior to hearings and notifies the Judge/Referees of any concerns or issues contained in reports for hearings.
  • Attends hearings and enters hearing information into the recording system and updates information as necessary.
  • Updates OnBase with case files and JIS with register of actions updates.
  • Answers the telephone and greets visitors and responds to questions regarding court procedures and case processing information.
  • Assists with clerical support tasks in the Juvenile Division, including typing correspondence and other documents, preparing orders, processing mail, maintaining files, and performing other duties as needed.
  • Assists the Juvenile Director and Juvenile Register in maintaining all records and files of the Juvenile Court, including court legal and social files on OnBase, register of actions records on JIS, placement records, and annual caseload reports.
  • Performs the functions of the Juvenile Register in the absence of that individual as requested by the Juvenile Director.
  • Consults with the Attorney Referee on Michigan law and statutes to ensure documents filed are done so according to required law and statute.
  • Performs a variety of office related functions.
  • Performs other duties as required.
