About The Position

The Union County Clerk of Courts is now hiring a full-time Deputy Clerk to work in the Title Office. Under general supervision of the Title Manager, the Title Deputy Clerk processes and issues titles, inputs data into computers, performs customer service, prepares and maintains records, performs general clerical duties. The Union County Clerk of Courts Title Department offers a wide variety of services relating to motor vehicle titles, duplicate titles, watercraft titles and more. Requirements

  • Completion of secondary education or equivalent
  • Two (2) – four (4) years' experience in customer service, general office keeping, or bookkeeping
  • Ability to work quickly and accurately
  • Ability to attend ACH training
  • Knowledge of County, Department, and Division goals and objectives
  • Knowledge of County, Department, and Division policies and procedures

Responsibilities

  • Assists auto dealers, manufacturers, banking personnel, and general public by processing and issuing titles (e.g., ensures all necessary paperwork is present, confirms buyer is resident of Union County, ensures title or application is filled out and notarized correctly, checks to see if lien to be filed, enters data on ATPS system, prints out necessary paperwork, collects correct fees, prepares a folder to file, etc.)
  • Determines what kind of title to be issued (e.g., Certificate of Title, Memo Title, Duplicate, Salvage, Repossession, Mobile Home, Travel Trailer, Trailer, Watercraft; etc.)
  • Explains corrections and additional information necessary to transfer and/or assign titles, cancel liens, etc.
  • Operates credit card machine and/or cash drawer in collecting and balancing payments of title fees
  • Totals credit cards and balances cash drawer
  • Runs reports at end of day
  • Researches applicable sections of the Ohio Revised Code as needed
  • Handles multiple customers, performs all necessary title functions, works under pressure and maintains positive attitude, handles phone inquiries
  • Enters title and lien information and all other necessary data onto computer
  • Verifies that information output (e.g., title, memoranda, lists, etc.) are accurate and correct
  • Answers and directs incoming calls and handles public inquiries
  • Greets public
  • Works with other offices (e.g., Recorder, Treasurer, Auditor, Sheriff and Police Departments, other Title Offices throughout the nation, Bureau of motor vehicles, Ohio Department of Taxation, Internal Revenue Service, banks and loan companies, deputy registrars, dealers, etc.)
  • Scans documents
  • Shreds documents
  • Balances checkbook, issues monthly and weekly remittance checks
  • ACH funds
  • Prepares, files, and maintains records
  • Files titles according to established procedure
  • Prepares reports as necessary
  • Maintains confidentiality of sensitive information
  • Performs general clerical duties
  • Types reports, legal documents (e.g., titles, liens, tax forms, etc.) and letters
  • Handles express mail
  • Prepares computer for daily back-up
  • Notary applications and handbooks
  • Prepares legal files, and enters data into computer
  • Maintains lists and records
  • Receives and receipts monies collected
  • Assists other staff with programs
  • Maintains required licensures and certification, if any
  • Meets all job safety requirements and all applicable safety standards that pertain to essential functions
  • Demonstrates regular and predictable attendance
  • Performs other related duties as assigned
  • Attends staff meetings as assigned
