About The Position

The Department Coordinator IV serves as administrative support for the Pulmonary & Critical Care Medicine division’s Adult Critical Care physician leaders, as well as assigned adult critical care faculty and designated clinical staff. This support encompasses coordination of complex physician schedule, management of inpatient service coverage models, facilitation of multidisciplinary workflows and compliance requirements. The coordinator will provide critical infrastructure for faculty, educational and academic programs while serving as the central liaison between clinical staff, divisional and hospital leadership and institutional partners. This integrated support framework enables faculty to focus on patient care, education and research while maintaining operational excellence across high-acuity critical care environments.

Requirements

  • Bachelors Degree required
  • 2 years of related work experience or equivalent combination of education and experience is required.
  • Ability to maintain confidentiality required.
  • Exceptional organizational, time management and administrative skills required
  • Strong technical skills, including a high level of proficiency in Microsoft Office required.

Nice To Haves

  • At least 1 year in an administrative capacity in an academic office or project management, or the equivalent experience in business is preferred
  • Knowledge of University Polices, NYS labor laws preferred.
  • Notary Public preferred

Responsibilities

  • Provides general administrative support for the adult critical care leaders and faculty and clinical staff as assigned, including but not limited to: calendar management, ordering supplies, tracking equipment and space, participating in onboarding/offboarding of faculty and staff, preparing correspondence, assists with travel arrangement, participates in and prepares educational programs, prepares agendas/minutes, materials and attends meetings as required and serving as the primary contact for the critical care team.
  • In collaboration with assigned leaders, develops and coordinates clinical rotation schedules for fellows, residents, medical students and other assigned clinical educational programs.
  • Assists with management of Qgenda for PCCM faculty and ICU moonlighting schedule
  • Assists fellowship administrator, fellows and program leads and participates in the management of required conferences, lectures, grand rounds for fellows, residents, medical students and continuing educational programs and electives.
  • Manage procurement needs for the critical care team and division, including creating and maintaining assigned PO’s, P-Card transactions, Moonlighting tracking and payment submission, inventory and supply ordering and tracking and assists with preparing travel and conference reimbursement.
  • Acts as the department’s central point of contact for critical care team.
  • Maintains accurate reporting and distribution of MICU census and didactic calendar.
  • Performs additional administrative duties as assigned, including cross-coverage to ensure continuity of operations.
