About The Position

Under general supervision, the Department Assistant assists Infusion Center personnel and patients in a variety of functions and projects. This role provides registration, secretarial, and data management support, including the maintenance and filing of records, clerical duties, communications, and computer functions.

Responsibilities

  • Serves as primary receptionist for the department to greet and direct patients and families.
  • Provides departmental support for patient scheduling, registration, authorizations, collection of co pays and assembly of patient records.
  • Completes all reports, letters, forms, documents in an accurate, easy to read format within the agreed upon time frame requested.
  • Proofreads work for accuracy prior to photocopying and distribution.
  • Enters and/or ensures that all patient charges are entered within the time frame required to avoid late charges.
  • Works with supervisor to ensure that charge master remains up to date.
  • Assists unit staff to complete charge documents, educates to changes and ensures that data is entered in unit logs.
  • Reconciles charge documents against patient daily census.
  • Reviews expense and charge reports with unit supervisor/director to identify issues that negatively impact budget and revenue.
  • Maintains files, database, (patient log) and record keeping for assigned department in a manner that allows easy retrieval of information.
  • Trains as department superuser for computer applications (e.g., scheduling.com) and trains other staff in use.
  • Maintains unit files for patient education materials and pre printed orders.
  • Follows up on supplies that are back ordered, delivered in error, etc.
  • Assists supervisor to control unit supply costs.
  • Orders office supplies, stock, forms and dietary supplies for the department.
  • Performs routine duties such as photocopying and opening and/or distributing mail and reports in an appropriate manner.
  • Arranges for repair as needed.
  • Follows up on work orders.
  • Follows up with Engineering if outside vendors have to be contacted, tags equipment for biomedical.
  • Maintains unit equipment in good repair (e.g., office equipment, clinical monitors, scales).
  • Surveys physical environment for needed repairs and notifies Engineering.
  • Maintains records for recurring patient accounts.
  • Interacts with admissions/billing office to ensure accounts are maintained monthly.
  • Assists staff to access information on-line or to print as needed.
  • Performs role and responsibility of Unit Secretary for order entry, assembly of patient records and nursing support to obtain needed documents.
